GENERAL INTRODUCTION:
The Archbishop is the visible principle and foundation of unity in the particular Church entrusted to him. In a unique and visible way, he makes Christ's mission present and enduring as Shepherd of the Christian Community. In order to fulfill his mission, the Archbishop employs suitable, chosen collaborators (clerics, religious, or lay people). He shares with them the apostolic mission and entrusts various responsibilities to them. (Directory on the Pastoral Ministry of Bishops, 198)
Each position employed in the Chancery helps to extend the ministry of the Archbishop in particular ways as outlined in the position description.
GENERAL SUMMARY OF ESSENTIAL PURPOSE:
At the direction of the Administrative Coordinator, participates with other staff members in implementing the mission of the Office of the Vicar for Clergy by providing administrative and secretarial assistance to the staff. This would include assistance to the staff responsible for the development and support of clergy, ministries to cultural and ethnic communities, and those supporting criminal justice, inclusion, and pastoral care ministries.
ESSENTIAL POSITION DUTIES:
1. Assists and collaborates with the Administrative Coordinator and other members of the Office of the Vicar for Clergy in maintaining the day to day workflow for the staff, with a focus on the work related to Deacons and the Office of the Vicar for Clergy databases.
2. Assures that all telephone communication is handled in an efficient and courteous manner. This includes taking accurate messages or referring callers.
3. Assists with all aspects of the centralized databases. This includes data entry, updating, reporting, and label processing. Works with Access programmer regarding updates and concerns that may arise, and keeps detailed records. Assures the creation and maintenance of priest, deacon, deacon candidate, seminarian, and volunteer databases. Creates and updates database documentation. Manages the process and assures the publication of mailing labels.
4. Assists and collaborates with the Chief of Staff in the development of a protocol manual of all Office of the Vicar for Clergy procedures and maintains all existing protocols within the manual.
5. Assist directors in web page development and maintains Office of the Vicar for Clergy web pages.
6. Creates and maintains database documentation, manuals, picture directory, necrology, and other projects as they arise.
7. Directly supports the Director for Deacons. Assists in the organization, logistics and technical functions of Deacon Events. These events include the Deacon Convocation, the Deacon Retreat and Deacon Vespers.
8. Provides additional administrative assistance, which may include receiving phone calls, assisting with meetings and processing correspondence as necessary. Performs additional assistance as assigned by Administrator Coordinator.
ESSENTIAL QUALIFICATIONS:
1. Primary:
a. Willingness and ability to support the mission of the Church by extending the ministry of the Archbishop.
b. Ability and desire to use God-given gifts and talents in service of the local Church in support of the collaboration between lay and ordained Ministers.
c. Active member of a parish/faith community in good standing with the Church.
2. Education:
a. BA preferred.
3. Experience:
a. Database management experience.
b. Proven experience, 2-5 years, in Microsoft tools including Excel, Access and Power Point.
4. Other Elements:
a. Excellent organizational skills
b. Excellent attention to detail
c. Ability to maintain confidential information
