Job Description

JOB TITLE: Business Manager: St. John Paul II
Roman Catholic Church

REPORTS TO: Pastor

FSLA: Full time; Exempt Employee

GENERAL SUMMARY: The Parish Business Manager is an administrator in support of the Pastor's responsibilities to the Parish and is a steward of the physical, financial, and personnel resources of the Parish.

• Summary
o Responsible and accountable for the operational and business functions of the Parish
o Responsible for the over-all planning and coordination of operational staff responsibilities
o Manages and aligns an effective organization to deliver the services needed to meet pastoral objectives as set out by the pastor and outlined in the Pastoral Plan
o Administer the business of the Parish to ensure its fiscal viability and establish processes and procedures to ensure that all the resources of the Parish are used fairly, justly and judiciously
• Financial
o Supervises, implements and oversees the budgeting process for parish, including approving all non-budgeted expenses with the pastors permission
o Supervises the accounting function for the parish
o Responsible for all disbursements, including overseeing and processing parish payroll, as well as approving invoices and accounts payable disbursements
o Ensures that audits are conducted by an independent auditor, as directed by Pastor and the Archdiocese.
• Human Resources
o Develops the performance management process, including policies and evaluations.
o Monitors staffing and the administration of salary and benefits policies
o Assists with the hiring and selection of all personnel; prepares offer letters, provides input to Pastor for annual reviews, training/skill and compensation plans
o Oversees the orientation process for new employees
o Meets with parish staff to resolve operational and process issues; mediates disputes
• Facilities Management Responsibilities
o Supervises the maintenance staff and manages major repairs or new construction.
o Negotiates contracts with suppliers and construction firms.
o Schedules facilities maintenance; coordinates liability and maintenance needs.
o Prepares, administers, and communicates security policy to staff and parish organizations.
o Supervises Buildings & Grounds in areas of parish use and maintenance.
o Develop a Plant/Facility Evaluation and Maintenance Schedule.
• Archdiocese
o Participates in the meetings and activities of Parish Business Managers of the Archdiocese
o Serves as point of contact with the Archdiocese in all business related matters
• General
o Approves security levels, report distribution and access to data in computer systems
o Regularly attends staff, and Finance Council meetings
o Serve as ex-officio member of the Finance Council
o Other general duties as assigned by Pastor

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:

• Bachelor's degree in Accounting preferred, or a minimum of four years of equivalent related experience (Certified Public Accountant Certification a plus)
• Knowledge and experience with human resources selection procedures and policies, including legal/compliance requirements
• Excellent knowledge of Microsoft Office and familiarity with relevant software.
• Knowledge of QuickBooks and Parish Data System (ACS/PDS) software, a plus
• Excellent supervisory, leadership, time management and interpersonal skills required
• Non-Profit, Parish, and/or Archdiocese experience preferred

WORKING CONDITIONS:

Work hours are typically from Monday to Friday, 8am to 4pm, but may shift to accommodate specific tasks or events in the evening.
