JOB TITLE: Administrative Assistant
OFFICE: Vicar General and Moderator of the Curia
SUMMARY: Provide administrative support for the Office of the Vicar General and Moderator of the Curia. Work directly with both the Vicar General and Special Assistant to the Vicar General.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Schedule appointments and meetings. Prepare agendas for meetings.
- Organize daily schedule and assemble necessary materials.
- Prepare, mail/distribute letters, memoranda, other documents.
- Answer and respond to a variety of telephone calls and other inquiries.
- Organize daily mail. Photocopy, fax and distribute materials as required.
- In coordination with the Cardinal's Office, schedule Cabinet meetings, inform Cabinet members and prepare agendas and materials.
- In coordination with the Cardinal's Office, schedule Auxiliary Bishops' Meetings, inform Bishops and prepare agendas and materials.
- In coordination with the Human Resources office, assist in preparing information and materials for the monthly Pastoral Center Staff meeting and the quarterly New Hire gatherings.
- Create the Monthly Duty Schedule for Pastoral Center priests.
- Coordinate and submit the Annual Statistical Report and the Quinquennial Report for Vatican Signatura.
- Draft skeleton of Chancery Mailing Monthly Newsnotes.
- Submit vouchers for office expenses and maintain record for budget purposes.
- Submit requests for Papal Blessings to the Apostolic Nunciature.
- Prepare and have documents for the Cardinal's signature notarized.
- Arrange Mederios Fund meetings/disbursements.
- Report to and work closely with the Special Assistant to the Vicar General on administrative coordination of the office.
- Interact in positive and professional manner with staff and visitors at the Pastoral Center.
- Other duties as may be assigned.
QUALIFICATIONS:
- Bachelor's degree and/or a minimum of 2 years of previous business office experience.
- Knowledge of the Magesterium of the Catholic Church and an understanding of the function and structure of RCAB and Archdiocese offices is required.
- Must be well organized, able to multi-task and effectively work in a busy, changing environment.
- Excellent interpersonal skills.
- Ability to handle confidential, time-sensitive and critical matters with good judgment, tact, respect and discretion.
- Ability to anticipate needs and establish priorities.
- Ability to communicate effectively through e-mail and/or telephone.
- Proficient in Microsoft Office.
- Strong service orientation.
- Willingness to support the mission of the Catholic Church.
PHYSICAL PERFORMANCE ELEMENTS:
- Ability to use a computer keyboard for up to 8 hours/day.
- Ability to sit for up to 8 hours/day.
- Ability to lift up to 20 pounds.
