JOB DETAILS
The Administrative Office Manager provides necessary administrative services for the Religious Education Office, including the daily tasks of receptionist, administration and information systems management. It is a full time position which supports the enterprise of the Parish Religious Education from Pre-K through Young Adults.
Position Specifications/Requirements:
-Must have administration and project management skills: strong proficiencies in computer office programs and information systems.
-Must have excellent skills in time management, delegation, long-range planning, financial management and budgeting.
-Must have excellent people skills: relate well with staff, youth and parents.
Responsibilities:
-Maintain confidentiality in all matters.
-Use sound judgment in regard to standard procedures and applications.
-Provide the full spectrum of support in an office environment. Create general correspondence, agendas, minutes, fliers, postcards, mail pieces and other related material.
-Maintains records of youth in religious education, including religious education registration and fee processing.
-Answer the telephone and greet visitors at the Religious Education building.
-Maintain accurate sacramental record keeping system for First Eucharist and Confirmation.
-Maintain accurate record keeping system for religious education and Youth Ministry events.
-Maintain, revise, update religious education database.
-Manage the religious education registration process.
-Locates and compiles information and formats reports, graphs, tables, records and other sources of information.
-Conduct bulk mailings
-Assist in recruiting, coordinating and directing volunteers who assist in Religious Education and Youth Ministry.
-Assists with special religious education events planning.
-Coordinates with VBF Chairperson all necessary tasks with regard to VBF. Manage all Vacation Bible records and fee processing. (Spring and summer only).
-Maintains inventory and oversees office supplies and equipment, including the ordering of supplies and the purchase orders for curriculum materials.
Qualifications:
-Ability to follow standard procedures and applications.
-Ability to set priorities and organize work effectively and efficiently in performing outlined tasks.
-Proficient in composition, typing, and record keeping.
-Strong computer proficiencies; Microsoft Office, Publisher, Excel, Access, electronic calendars, data base software use and other office leading software programs.
-Ability to relate to the variety of persons who are part of the parish community through telephone or personal reception.
-Ability to work closely with various volunteers and committees.
-Some evening and weekend work related to special events and meetings may be required.
