The Assistant Director of Enrollment Services has primary responsibility for the efficient functioning of the Enrollment Services office as well as for multiple data systems and processes that support the office. The Assistant Director has an important role in communication with potential students/inquirers and constituencies who refer inquirers, as well as with the recruitment and admission of students for Washington Theological Union.
The Assistant Director is hired by the Director of Enrollment Services with the approval of the President and reports directly to the Director of Enrollment Services. The Assistant Director assists the Director in the day to day operation of the office.
Duties and Responsibilities:
Communication with Inquirers:
o Handles phone calls from inquirers seeking information
o Does data entry on the inquiry
o Initiates mail and phone processes with the inquirer
o Assists Director in systematic relationship management system; maintaining logs, narratives, monthly reports
o Works with the Director to facilitate potential student visits to the Union
- Administration of Admissions Process:
o Creates student application folders
o Does data entry in database of application materials as received
o Tracks each student file and sends reminders or calls applicants to encourage them to complete the process
o Reviews student applications with the Director, and records applicable data
o Facilitates scheduling of admissions interviews with the Director
o Prepares letters of admission or denial of admission
o Distributes appropriate materials to Union personnel when file is complete
o Regularly reviews office files
o Implements processes, in coordination with the Director and other relevant offices, to ensure that admitted students have ongoing and systematic communication prior to the start of their program
- Office Management:
o Coordinates office mailings to constituencies throughout the year and maintains appropriate mailing lists
o Oversees all student workers and volunteers
o First point of contact with inquirers and applicants
o Keeps files on planned travel/exhibits for Director, ships materials, and assists in arrangements
o Processes and records check requests sent to the Business office
o Works with the Director to create appropriate reports
o Periodic attendance at Union events at which potential inquirers or constituencies may gather
o Openness to exhibiting at a small number of events, determined in collaboration with the Director
Qualifications/Skills:
- Highly efficient organizational skills, with great attention to detail
- Ability to multi-task
- Relationship and communication skills (able to relate well and communicate clearly with priests, religious, lay ecclesial ministers, adults interested in enrichment)
- Skilled in Microsoft Word, Outlook and Excel
- Ability to learn and utilize effectively a database management system
- Bachelors degree preferred
- Hospitality and welcoming presence
- Flexibility
Not required but desirable:
- Previous experience in admission work
- Previous education and work in theology/ministry contexts
- Bilingual -- English/Spanish a plus
