DIRECTOR OF BUILDINGS & GROUNDS

POSITION DESCRIPTION: Full Time, Exempt Status
SALARY: $36,000 to $43,000
REPORTS TO: Pastor/Administrator. Also takes direction from parochial vicars.
PRIMARY FUNCTION OF THIS POSITION: The Director of Buildings and Grounds oversees and supervises all aspects of parish buildings and grounds strategic planning, improvement, and maintenance in a safe and effective manner.

MAJOR POSITION DUTIES AND RESPONSIBILITIES (essential functions)

A. Demonstrates effective leadership in directing the maintenance and improvement of parish properties.
- In coordination with the pastor, demonstrates effective leadership in developing, planning, and directing strategic maintenance programs and capital improvements that provide for the long term sustainability and improvement of all parish grounds and properties, including:
- St. Gabriel's Church, Grounds, and Columbian Hall.
- St. John's Church, Grounds, and Rectory.
- St. Joseph's Church, Grounds, Church Center, and Rectory.
- St. Mary's Church, Grounds, and Rectory.
- St. Matthew's Church, Grounds, Barn, and Rectory.
- St. Teresa's Church, Grounds, Church Center, and Rectory.
- All Saints Catholic School:
- St. John's Campus Building and Grounds
- St. Mary's Campus Building and Grounds.
- Mount Pleasant Catholic Cemetery Buildings and Grounds.
- Continually seeks opportunities to improve processes, systems, and services under his or her care.
- Makes himself or herself available to be on call in case of security or emergency situations that may arise on parish property, and/or ensures that other staff members and/or parish volunteers are available and prepared for emergency response.
- Supervises setup and cleanup of facilities for parish events such as weddings, funerals, and larger events as needed.
- Proactively seeks feedback from staff and parishioners and diligently responds to concerns or suggestions by informing the concerned parties of actions taken.
- Aggressively recruits, directs, and organizes the participation of parish volunteers in various aspects of the maintenance and improvement of parish properties, making sure to acknowledge and thank them for their work.
- Attends staff meetings with priests and other core office staff on a weekly basis and as needed in order to facilitate collaboration among staff, discuss goals and objectives, and evaluate ongoing progress.
- Represents the parish in all interactions with staff, parishioners, and the general public by conducting himself/herself in accord with the teachings of the Catholic Church.
- Actively participates in the annual formulation of a budget for his or her area of responsibility and is evaluated on performance with respect to operating within his or her budget during the previous year.
- Participates in an annual performance review in his or her area of responsibility with supervisor that is based on job description.
- Attends seminars as requested.
- Carries out other duties as assigned or requested.

B. Instructs and supervises cemetery and maintenance staff.
- Advises parish priests regarding buildings and grounds personnel working for Saint Paul the Apostle parish, making meaningful recommendations about staff adjustments and/or changes.
- Meets on a regular basis with parish employees under his or her supervision to discuss goals and objectives, evaluate ongoing progress, and celebrate positive achievements.
- Trains cemetery and maintenance personnel, observes performance, and conducts written performance reviews based on job descriptions on an annual basis.
- Addresses employee performance deficits timely and appropriately.
- Implements and ensures compliance at all times with the Diocese of Portland "Cluster Personnel Policies and Procedures Manual."
- Establishes parameters for staff under his or her supervision to make independent decisions.
- Establishes daily or weekly work assignments and schedules for maintenance and cemetery staff.
- Reviews and approves time sheets.
- Ensures clean and safe environment in work areas, and provides for proper protective equipment and safety training.

C. Oversees contracts and contractors engaged by the parish to assist in buildings and grounds maintenance and improvement.
- Evaluates contracted services employed by the parish and assesses the quality of work and competitiveness of pricing.
- In collaboration with the pastor, solicits and reviews bids and quotes and negotiates contracts for capital improvements on parish properties.
- Interfaces with outside contractors, ensuring that best practices are being observed and that work is being completed according to contract.
- Manages and coordinates all inspections and certifications for parish buildings and grounds. Accompanies all inspectors (fire, health, insurance, EPA, etc.) on inspections, or ensures that a staff member will be present during inspections.

D. Ensures Functional Operations.
- Directs the purchasing, maintenance, and storage of all parish equipment and supplies used for buildings and grounds maintenance and improvement.
- Ensures the safety of all parish buildings and grounds by overseeing emergency and security preparations and protocols, ensuring compliance at all times with all relevant diocesan, municipal, state, and federal safety policies and regulations.
- Schedules or directs routine repairs and obtains necessary certification if required.
- Maintains open file of emergency systems, i.e. plumbing, electrical, fire, sewage, underground tanks, etc.

JOB REQUIREMENTS/POSITION SPECIFICATIONS:
- Possesses sufficient experience and knowledge of buildings and grounds maintenance and improvement practices.
- Demonstrates interpersonal communication skills.
- Is able to organize and prioritize time.
- Has supervisory skills/experience.
- Maintains confidentiality.
- Presents himself/herself professionally.
- Completes or will successfully complete within 90 days of start of employment the diocesan program "Protecting God's Children."
- Meets all of the employment policies specified in the Diocese of Portland "Cluster Personnel Policies and Procedures Manual."
- Is willing to work on nights and weekends as needed or requested.
- Is a practicing Roman Catholic who understands and enthusiastically supports the mission and purpose of the Church and parish.
- Demonstrates basic proficiency with a personal computer so as to be able to carry out normal office functions.
- Possesses and maintains a valid Maine driver's license and is insurable.

EDUCATION, TRAINING AND/OR EXPERIENCE
Relevant Associate's degree or Bachelor's degree preferred.
Five or more year's supervisory experience in related field required.
Previous construction, landscape, and maintenance experience preferred.
