Position Description

Job Title: Administrative & Pastoral Assistant for Hispanic Ministry

FLSA: Non-Exempt; Part-Time

Reports: To the Bishop's Delegate for the Hispanic Community.

Job Function: The Administrative & Pastoral Assistant for Hispanic Ministry is responsible for managing all the secretarial aspects of the office, as well as providing support for all Hispanic pastoral, religious, and social activities. This includes coordinating with volunteers and Diocesan offices to handle publicity and logistics for events and being present at events as needed. Also, the Administrative & Pastoral Assistant will be able to offer workshops and talks as required.

Duties and Responsibilities:

- Assists with day-to-day office operations and coordinates volunteers to keep the Hispanic Diocesan Center clean and organized.

- Maintains attendance spreadsheets whether of the Theological Formation LET, Spanish Marriage preparation, retreats, talks, etc.

- Prepares materials for events such as retreats, theological formation LET, etc. E.g., flyers, PowerPoint presentations, announcements, etc.

- Assist in the organization and planning of events supported by the Office of Hispanic Affairs, including arranging accommodations for speakers, coordinating catering, technology setup, and scheduling.

- Oversees schedule for the usage of conference rooms at the Hispanic Diocesan Center.

- Works with the Office of Communications to utilize contemporary means of communication, such as social media, the A.D. Times, A.D. Today, etc., to maintain a Hispanic Affairs column and promote programs and events by posting advertisements and updates on the website.

- Communicates with parishes, priests, and parish leaders to post events on the website calendar to avoid conflicts with other regional and whole Diocesan events.

- Create a bilingual Spanish/English page in Flocknote for Hispanic community news and events. Send event communications via Flocknote email, text, and flyers.

- Coordinates and organizes volunteers' clearances and background checks with the Office of Safe Environment and Youth Protection.

- Keeps up to date with programming resources, technologies, Church documents, and relevant news on specific issues.

- Be present at Hispanic Affairs Diocesan events and other Diocesan-related events.

- Supports a social ministry committee to work in conjunction with Catholic Charities.

- Perform other duties as assigned.

Educational requirements:

- A Bachelor's degree in Theology, Pastoral Ministry, or related fields.

- Have at least two years' experience in Catholic ministry. Must be fully bilingual (Spanish/English).

- Must have knowledge of MS Office suites such as Outlook, Word, Publisher, Excel, and PowerPoint. Also, knowledge of digital means such as Flock Note, WhatsApp, etc.

Other Requirements:

- A practicing Catholic with a committed prayer life who is faithful to the Catholic Church's teaching, has a deep knowledge of the Catholic faith, and agrees to live by the tenets of the Catholic faith, including in lifestyle and on personal social media.

- Abide by Christian virtue and is willing to work within an atmosphere of Catholic principles.

- Ability to maintain appropriate levels of confidentiality.

- Ability to accomplish projects on time and within budget.

- Experience in evangelization including the formation of intentional disciples.

- A self-starter with strong follow-through skills and results, evaluate and adjust as necessary.

- Ability to travel within the 5 counties to different locations.

- Energetic, creative, with a sense of humor, and able to establish trust and work collaboratively with internal and external departments of the Diocese.

- Offer talks when needed and according to his/her expertise.

Physical Demands: The employee is regularly required to stand, walk, sit, talk, and hear both in person and by telephone; frequent use of equipment that includes repetitive motions and computer eye fatigue. Occasionally required to reach and lift with hands and arms; stoop, kneel, crouch, or crawl, lift and/or move up to 10 pounds. Vocal communication is required for expressing or exchanging ideas by means of the spoken word in English and Spanish; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities.

Working Conditions:This is an hourly, part-time position with no benefits. Flexible work; 24 hours per week including evenings and weekends.
