Job Description

I. IDENTIFYING INFORMATION
Position Title: Bookkeeper
Location: St. Jude Parish
Status: Full Time
FLSA: Non-Exempt
Reports to: Office Administrator/Business Office
Supervises: None

II. PRIMARY FUNCTIONS
Responsible for providing bookkeeping services to the parish as a whole or a specific ministry or program. Maintains financial bookkeeping system, including accounts payable, receivable, payroll, and cash receipts. Balances accounts, ledgers and reconciles bank statements. Prepares financial statements. Keeps confidential all financial records of the parish and St. Jude Parishioners. This employee works closely with the Business Management Team and Office Administrator. This employee is a steward of the financial resources of the parish.

III. POSITION CONTENT
a. ESSENTIAL FINANCIAL & ADMINISTRATIVE FUNCTIONS
Major Responsibilities and Regular Activities
1. Complete all aspects of accounting, including accounts payable and accounts receivable and monthly profit/loss statements
2. Prepare financial statements as requested
3. Prepare checks and bank deposits; record receipts
4. Maintain accounts accurately, including reconciling accounts
5. Collect payments or arrange payments, ensuring invoices are prepared and submitted in a timely manner
6. Record weekly Mass collections in parish data system and in accounting software
7. Collect & deposit monies from parish ministries
8. Maintain accurate and timely accounting of parish contributions in parish data system, F1Go, including generation of individual contribution reports to parishioners
9. Provide timely acknowledgements and accurate records of special contributions such as memorial gifts, matching gifts and Required Minimum Distributions (RMD's)
10. Maintain and support the automatic withdrawal program, Faith Direct
11. Provide information and support for Archdiocesan campaigns
12. Prepare annual 1099 and W-2G forms
13. Request and maintain W9 vendor forms
14. Prepare 50/50 list for collection counters
15. Support the parish office by answering phone calls and by greeting and directing parishioners, delivery services and vendors as needed
16. Open mail and distribute to proper location within office as needed
17. Other duties as necessary to ensure the efficient functioning of the Parish

IV. POSITION SPECIFICATIONS/REQUIREMENTS
a. SKILLS, KNOWLEDGE, AND/OR ABILITIES
1. Basic accounting skills and understanding of accounting reports
2. Must have 2 or more years bookkeeping experience, accounting background preferred
3. Adhere to internal control policies, guidelines and procedures around all financial and accounting activities.
4. Ability to communicate effectively, both verbally (including oral presentations) and in writing; ability to obtain and to provide clear, concise, and complete information.
5. Proficiency in Microsoft Office software, specifically Excel and Quickbooks
6. Proficiency with basic office equipment
7. Strong interpersonal skills, including the ability to establish and maintain effective working relationships with employees, parishioners, vendors, and the general public
8. Must be able to maintain confidentiality of sensitive information and able to use discretion
9. Good decision-making skills and ability to recognize issues requiring escalation to the Pastor or other staff
10. Ability to act independently, without close supervision
11. Excellent problem-solving skills
12. Ability to organize and manage workload to meet deadlines
13. Ability to handle multiple projects and priorities simultaneously
14. Willingness to foster the Church's mission

b. EDUCATION, TRAINING, AND/OR EXPERIENCE
1. Bachelor's Degree or equivalent combination of education and work experience that allows the employee to perform the required work
2. Must be able to understand and to comply with the Archdiocese of Indianapolis Code of Conduct
3. Must be able to complete successfully the Archdiocese of Indianapolis Child Safety Training
4. Background screening required
5. Valid driver's license required

V. WORKING ENVIRONMENT
1. While performing the duties of this position, the employee is required to stand, sit, walk, talk, feel, hear, and handle. Must be able to lift and carry up to 20 pounds occasionally.
2. Work is performed mostly in an office setting or a church setting.
