Ascension Press is seeking an enthusiastic, collaborative, and experienced administrative assistant who is dedicated to working in a support role. This full-time position will support our innovative sales and customer service departments. This is a full-time staff position, reporting to the national sales director and customer service department manager. Applicant should possess strong administrative skills, have experience working with databases, coordinating calendars, and editing and typing documents, as well as the ability to work independently and collaboratively in a team setting. Applicant must also possess a high level of professionalism, problem-solving skills, and an attention to detail, as well as documented clerical, organizational, and technical skills.
Schedule and organize complex activities such as meetings, conferences, and activities for the national sales director and customer service department manager.
Manage weekly calendar for national sales director and customer service manager.
Organize and prioritize information and incoming phone calls.
Draft written responses to phone, email, and text messages as needed.
Answer calls and field routine questions; take messages as needed
Work in cooperation with sales and customer service departments, responding to their unique needs.
Collaborate and act as a liaison between national sales director and customer service manager with other department heads and staff.
Type general correspondence, memos, etc., as directed.
Perform various administrative duties, as assigned, including filing, copying, scanning, and data entry.
Record meeting minutes as required, as well as gather and formulate agenda items,, coordinate and share agenda updates in a timely manner.
Compile documents and files on special projects and initiatives.
Conduct online research.
Evaluate and organize requests, identify potential resource conflicts, and determine appropriate actions for resolution.
Receive, place and route appropriate incoming mail, paperwork, and inquiries.
Make travel arrangements and manage accurate details for travel.
Strong attention to detail
Ability to work in a highly collaborative environment
Strong written and verbal communication ability
Strong proofreading skills
Excellent organizational skills
Associate's degree, at minimum
3+ years of related experience, at the executive level
Familiarity with Microsoft Office, particularly Word and Excel
Working knowledge of Google applications: Drive, Email, Hangouts, Documents, Calendar, Sheets
Type 60+ wpm
