Job Description
Office Manager Position Summary:We are seeking a proactive, organized, and service-oriented Office Manager to oversee and perform daily administrative functions and ensure smooth customer service operations. This key role supports students, volunteers, instructors, donors, and staff, while managing and performing internal processes such as shipping, inventory, office coordination, and reporting. The ideal candidate is highly adaptable, communicates effectively, and can manage multiple systems and responsibilities in a fast-paced environment. This role is essential to the day-to-day functioning and long-term success of our organization. You will report to the Project Coordinator. This is an in office position not remote eligible. Primary work location Norwood, OH; hours: 8:30 am - 4:30 pm, 30 min. lunch
Key Responsibilities:
Customer Service & Communication
* Engage daily with clients, donors, and volunteers to address inquiries, troubleshoot technical issues, and assist with online or phone registrations and orders.
* Respond promptly to customer communications via phone, primary and secondary emails, and chatbot.
*Handle customer complaints with professionalism, offering timely and effective solutions.
* Maintain confidentiality with customer, donor, and volunteer information.
Shipping & Inventory Management
* Ship products efficiently for general store orders and classes.
* Monitor inventory levels and alert team when stock is low to ensure product availability.
* Maintain organization of the warehouse, including stocking and unloading deliveries (may require lifting up to 40 lbs).
* Conduct quarterly inventory counts and keep accurate records of shipped products.
Office & Administrative Operations
* Ensure the office is organized, well-stocked, and functional for all staff both in office and remote.
* Order necessary office supplies and materials in a timely manner.
* Track and organize staff birthdays, holidays, and anniversaries to support a positive team culture.
* Prepare monthly reports and Key Performance Indicators related to customer service and shipping.
* Manage schedules, appointments, filing systems, and assist with other administrative tasks as needed.
* Support internal teams by navigating multiple computer systems to provide timely assistance.
Qualifications:
* Strong written and verbal communication skills.
* Proven ability to manage multiple tasks, prioritize effectively, and meet deadlines.
* Excellent interpersonal skills and a customer-first mindset.
* High proficiency with Google and Microsoft products (Excel/Google Docs, Word, Google Meets).
* Strong problem-solving and organizational abilities.
* Must have 2-5 years' experience in customer service, administration, or a related field.
* Must be able to lift up to 40 lbs.
