Via Cantus is OCP's Spanish-language Catholic contemporary music imprint, music publisher, and production initiative serving the Catholic music community through artist and composer development, music production, publishing, marketing, release management, creative collaboration, and the cultivation of a collaborative community of artists, composers, and ministry leaders.
The Label Operations Specialist supports and leads defined operational workflows across Via Cantus initiatives. Working under the direction of the Head of Label, this role takes ownership of assigned projects and processes, drives work toward completion, ensures accurate and timely execution, identifies and resolves operational issues, and facilitates effective collaboration among internal departments, artists, and external partners. The Specialist is expected to exercise initiative and sound judgment within established priorities and to take increasing ownership of Via Cantus operations as their knowledge and experience grow.
Note: The work schedule will be determined based on the employee's location and the needs of the role. The employee must be available during OCP's core hours of 9 a.m.-3 p.m. Pacific and have regular overlap with the Head of Label and collaborators in Latin America. Occasional evening or weekend work and travel, including international travel, may be required.

ESSENTIAL DUTIES AND RESPONSIBILITIES
Music Production & Release Operations
• Manage assigned music and artist projects through production, post-production, release preparation, launch, and post-release follow-up, ensuring schedules, assets, metadata, approvals, deliverables, and release setup within Via Cantus' digital distribution and digital asset management systems are accurate and completed on time.
• Manage defined digital distribution, publishing, and rights-related workflows, including collecting, reviewing, and maintaining required release, songwriter, rights, permissions, and related information; identify missing or inaccurate information and take appropriate action to resolve issues.
• Lead logistical and operational execution for assigned recording sessions, songwriting camps, video productions, live recordings, artist events, and other Via Cantus projects, anticipating needs, identifying potential problems, and helping implement solutions.
Project & Operations Management
• Develop and maintain project timelines, calendars, budget trackers, records, and other project-management documentation across multiple Via Cantus initiatives, ensuring information remains accurate, current, and actionable.
• Drive assigned projects toward completion by monitoring deliverables, deadlines, and dependencies; proactively follow up on outstanding items; identify risks, errors, or bottlenecks; and initiate appropriate follow-up or corrective action when projects fall off track.
• Manage defined operational processes and recurring workflows, ensuring required steps are completed consistently and escalating issues requiring additional direction or approval.
• Identify opportunities to improve operational processes, project tools, and workflows, and implement approved improvements that increase efficiency, accuracy, communication, and accountability as Via Cantus continues to grow.
Marketing & Promotional Operations
• Manage assigned operational components of Via Cantus marketing and release campaigns in collaboration with the Head of Label, Marketing Manager, artists, contractors, and external partners, ensuring campaign timelines, creative assets, content, promotional deliverables, and artist participation remain organized and on track.
• Drive campaign execution by tracking deliverables, identifying missing assets, information, approvals, or delays, initiating follow-up, and taking appropriate action to resolve routine issues and keep campaigns moving forward.
• Serve as a bilingual operational liaison among Via Cantus, OCP Marketing team, artists, and Spanish-speaking partners, ensuring clear communication and maintaining relevant campaign information and performance data to support marketing execution and evaluation.
Cross-Functional & Operational Support
• Serve as an operational point of contact for assigned Via Cantus projects and workflows, managing information, communication, and deliverables among artists, creative partners, external stakeholders, and OCP departments, including Strategic Operations, Marketing, Publishing, Accounting, IT, Distribution, and Contract Administration.
• Manage day-to-day priorities across assigned Via Cantus projects and initiatives, identify issues or dependencies requiring action, resolve routine operational matters independently within established guidelines, and engage the appropriate internal or external teams when additional expertise, action, or approval is required.
Other Duties & Responsibilities
• Contribute to special Via Cantus projects by conducting research, gathering information, maintaining project and contact databases, preparing reports, and carrying out related operational activities

MINIMUM REQUIRED QUALIFICATIONS & EXPERIENCE
• Bilingual fluency in English and Spanish, with strong written and verbal communication skills in both languages, is essential.
• Minimum of two years of relevant professional experience in project coordination, project management, operations, administration, music business, marketing, events, or a related creative or business environment.
• Strong organizational, project-coordination, time-management, communication, and attention-to-detail skills, with demonstrated initiative and dependable follow-through.
• Ability to coordinate multiple projects, priorities, deadlines, and stakeholders, work independently within established priorities, adapt to changing needs, and exercise sound judgment.
• Proficiency with common workplace systems, including spreadsheets, shared files, databases, and project-management tools, with the ability to quickly learn new platforms and processes.
PREFERRED QUALIFICATIONS & EXPERIENCE
• Bachelor's degree in music business, business administration, communications, arts administration, or a related field; or equivalent combination of education and relevant professional experience.
• Experience in the music industry, entertainment, record label operations, publishing, marketing, project management, or a related creative or business environment.
• Familiarity with recording and post-production, digital distribution, digitalo/a asset management, metadata, music publishing, rights and approvals, release management, marketing, or artist development workflows.
• Knowledge of the Latin music market, Spanish-Speaking Catholic Music community, or mission-driven music and creative organizations is a plus.
COMPENSATION & BENEFITS
Estimated starting pay range between $60,000 - $65,000, depending on qualifications and experience.
