Job Description
We seek a full-time Development and Finance Officer to help incarnate our mission as a Catholic intellectual apostolate in University City. The Development and Finance Officer will be entrusted with a variety of duties related to fundraising, donor relations, financial management, accounting operations, and special event planning. This job is ideal for an industrious college graduate with a minimum of one year of professional experience, ideally in development with responsibilities in soliciting major gifts, who has a spirit of initiative and a strong commitment to the mission of the Collegium Institute. This candidate should be seeking to work on a motivated team and contribute organizational and communication skills for the growth of an expanding academic enterprise that delivers over two hundred programs and events annually and has nourished intellectual friendship among thousands of students, faculty, and supporters for over a decade. The opportunity will offer high-level experience in the development and financial work involved in running a non-profit with a revenue of over $850,000 per year and prepare the position-holder for a variety of future opportunities within the university community and non-profit management, and beyond.Key Responsibilities
Overview:
The Collegium Institute Development and Finance Officer serves to promote the mission of the organization in five areas:
A. Fundraising and donor relations
B. Financial management, accounting operations, audit, and data integrity
C. Salesforce data architecture design and updates
D. Board of Trustees communication and operations
E. Special event planning and special projects management
Detail:
A. Fundraising and donor relations
-Design and implement compelling and data-driven fundraising campaigns to increase yield from individual donors
-Write copy to market fundraising campaigns in weekly newsletters
-Directly solicit individual donors via in person, phone, and email communications
-Steward donors to acknowledge receipt of gifts and enhance donor relationships
-Contribute to institutional donor fundraising through grant applications and grant reporting
-Ensure that all donation data is accurately and promptly updated through the GiveLively donor portal, in the internal tracker, in Quickbooks, and in Salesforce
B. Financial management, accounting operations, audit liaison, and data integrity
-With the Director, develop and maintain yearly expense and revenue budgets
-Design, implement, and manage protocols for accurate accounts payable and accounts receivables processing and reconciliation and cash management
-Manage relationship with and operations provided by external bookkeeping firm regarding same
-Manage and execute bi-monthly payroll and employee benefits operations; onboard new employee to payroll and benefits
-Produce ad hoc financial statements for analysis, reporting to Board of Trustees, grant applications/reporting, and Annual Report
-Working with CPA firm and bookkeeper, produce inputs to yearly audit, tax return, annual wage audit for Workers Compensation insurance policy, and yearly 1099/W2 tax forms
-Ensure that related data for net income, expenses, and donor information is accurately reflected in Quickbooks and Salesforce
C. Salesforce data architecture design and update
-Collaborating with Salesforce consultant and staff, improve design and functionality of Salesforce Non Profit Success Pack system
-Ensure donor data and contact information is promptly updated
-Optimize Salesforce campaigns and reports functionality
-Monitor GiveLively donor portal integration with Salesforce and troubleshoot any integration issues
D. Board of Trustees communication and operations
-Manage the Finance, Budget, and Development board sub-committee including meeting setting, financial analysis, and reporting
-Manage Board of Trustee communications including meeting setting and reporting
-With Director and Associate Director, create comprehensive meeting agenda and board reports for bi-annual meetings
E. Special event planning and special projects management
-With Director, design compelling events to connect donors and prospects to the mission and execute all event planning and communications strategies regarding same
-At the request of the Director, lead project management for business critical initiatives such as production of Annual Report, creation and maintenance of Employee Handbook, and creation and oversight of the Young Alumni Council
Qualifications:
-A strong commitment to the mission of the Collegium Institute, both personally and professionally
-A bachelor's degree necessary, a master's degree is a plus
-A minimum of 1 year of professional experience required, experience in development and soliciting major gifts is preferred alongside superior organizational, leadership, and communication skills
-Experience with Microsoft Excel is a must. Experience with Salesforce (or similar CRMs), Microsoft, Google, and Adobe's products preferred; basic graphic design skills a plus.
-Basic technological competence and ability to quickly learn simple A/V equipment
-Advanced communication and interpersonal skills
-A commitment to excellence and attention to detail
-A positive attitude maintained in a fast-paced environment
-A willingness to take initiative while also taking direction from leadership
-Time-management skills, evidenced through the ability to manage multiple projects at once
-Scheduling flexibility, willingness to work occasionally on evenings and weekends, with availability to come to University City as needed for meetings and donor-facing events as well as for occasional travel for off-campus donor meetings and events; beyond that, regular remote working arrangements can be negotiable
-Less than full-time arrangements negotiable for the right candidate
-Preference for candidates willing to commit for two years
-Familiarity with the University of Pennsylvania is a plus
Salary: The starting salary range for this position is commensurate with skills and experience.
