As we grow, we are looking for a sharp, dependable Marketing Associate & Receptionist to keep our communications running smoothly while helping us attract and connect with the clients who need us most.
Position Summary
This role will help bolster our intake process while serving as the backbone of our marketing. As Marketing Associate & Receptionist, you will present a professional and prompt first impression of the firm for our clients while executing the firm's core marketing activities. You'll work closely with our online marketing agency and serve as the internal point of contact between our team, our partners, and our prospective clients.
This role suits someone who is self-motivated and thrives when trusted to own their responsibilities - someone who brings a warm client presence and hospitality instincts, and the organizational talent to juggle multiple tasks. After an initial training period, the goal is to develop into the primary "face" of the firm: the first contact for all incoming leads and clients. It's a great launching pad for someone who wants to grow into a more senior marketing or operations leadership role over time.
Key Responsibilities
Reception
• Greet clients in the office with a warm and professional hospitality
• Support the intake process by fielding inquiries, eventually developing into the primary first contact
• Maintain 5-minute response times to all inbound leads
• Schedule estate planning consultations and coordinate client communications
• Manage schedules, correspondence, and day-to-day administrative tasks for firm leadership
• Take on additional operational projects as the role expands, including CRM buildouts, AI integration, and system optimization
Marketing
• Manage CRM - ensuring all leads are entered accurately, followed up on promptly, and moved through the pipeline efficiently
• Review and approve marketing content produced by marketing agency, including blogs, newsletters, social posts, and press releases
• Serve as the day-to-day contact for the marketing agency; attend monthly strategy calls
• Request and respond to Google reviews professionally and consistently
• Monitor dashboards; track and report on key metrics for firm leadership
• Attend meetings with leadership and help keep the team accountable to firm goals
• Renew and manage bulletin and print ad placements; create materials as needed
• Generate and post original, organic social media content on a consistent schedule
• Help plan and execute firm-sponsored workshops, seminars, and community events
• Represent the firm at events with professional hosting and genuine hospitality
• Coordinate partner outreach and manage relationship-building gifts and touchpoints
Qualifications
Education & Experience
• Bachelor's degree in Marketing, Business, Communications, or a related field (preferred)
• 2+ years of experience in customer service, marketing, or a similar role (preferred)
• Demonstrated social media skills - you know how to create effective marketing content
• Experience working with external vendors or marketing agencies a plus
• Familiarity with CRM platforms is a plus
• Event planning or hospitality experience a plus
Skills
• Highly self-motivated - you do your best work when trusted to own your responsibilities
• Strong organizational and administrative skills; comfortable juggling multiple priorities
• Warm, professional client presence - in person, on the phone, and in writing
• Proficiency in Microsoft Office, Google Suite, and Canva or similar design tools
• Data-driven mindset with comfort reading and reporting on marketing metrics
• Comfortable learning new platforms and tools quickly

• Salary range: $35,000-37,500 (negotiable), based on experience and fit
