As we grow, we are looking for a sharp, dependable, and personable Front Office Coordinator to serve as the welcoming first point of contact for our clients and to keep our office running smoothly.
Position Summary
As Front Office Coordinator, you will present a professional and prompt first impression of the firm for our clients while supporting the day-to-day operations of the office. You'll serve as an internal point of contact between our team, our partners, and our clients while maintaining a warm and professional "face" of the firm for anyone who walks in our doors.
This role suits someone who is self-motivated and thrives when trusted to own their responsibilities - someone who brings a warm client presence and hospitality instincts, careful attention to detail, and the organizational talent to juggle multiple tasks.
Key Responsibilities
Reception/Hospitality
• Greet clients in the office with a warm and professional hospitality
• Manage schedules, correspondence, and day-to-day administrative tasks for firm leadership
• Maintain cleanliness and presentability of lobby and conference rooms
• Keep front-office items stocked and readily available
Front Office
• Perform regular walkthroughs of office spaces to identify needed repairs, cleaning, or improvements
• Improve and maintain organization of office supplies and assets
• Field issues related to phones, IT, and other office infrastructure, and notify appropriate support teams
• Coordinate contractors for repairs, cleaning, and outdoor maintenance
• Regularly identify and propose improvements for office spaces and hospitality practices to leadership
• Coordinate rent collection, repairs, and leasing of neighboring rentals as needed
Qualifications
Education & Experience
• High school diploma and/or associate's or bachelor's degree a plus
• 2+ years of experience in customer service, reception, administrative support, or a similar role
• Experience in a law firm or professional services office a plus
Skills
• Highly self-motivated - you do your best work when trusted to own your responsibilities
• Strong organizational and administrative skills; comfortable juggling multiple priorities
• Warm, professional client presence - in person, on the phone, and in writing
• Careful attention to detail, including intuitive ability to recognize defects and needs in building maintenance
• Proficiency in Microsoft Office and Google Suite
• Comfortable learning new platforms and tools quickly

Compensation & Benefits
