Job Description

Position Summary:

The Publicity Assistant provides the administrative, communications, and relationship support needed to keep publicity campaigns organized and moving forward. The role coordinates authors, media contacts, schedules, campaign materials, and follow-up while maintaining accurate records and ensuring tasks are completed on time. Success requires exceptional organization, conscientiousness, strong interpersonal skills, clear communication, and the ability to manage details without losing sight of priorities.

**This role is a hybrid position with 3 days in our Nashua, New Hampshire office and 2 days remote.**

Primary Responsibilities:

~ Coordinate publicity campaigns, interviews, schedules, deadlines, and campaign logistics from launch through completion.
~ Serve as a professional point of contact for authors, media outlets, and internal teams; respond promptly and follow through on requests.
~ Conduct media outreach and follow-up for books, authors, and Sophia Communications clients.
~ Schedule author interviews and maintain accurate author availability.
~ Prepare, organize, and distribute press releases, press kits, review copies, dashboards, and other publicity materials.
~ Draft and edit routine publicity communications, including New & Noteworthy releases and author or media correspondence.
~ Maintain campaign records, shared files, ClickUp tasks, dashboards, media-hit documentation, and other reporting.
~ Track outstanding tasks and deadlines, communicate follow-up needs, and help ensure nothing falls through the cracks.
~ Provide general administrative and project support to the Publicity Department as needed.

Qualifications:

~ Highly organized, dependable, and conscientious, with strong attention to detail and follow-through.
~ Excellent interpersonal and communication skills; comfortable working with authors, media contacts, and colleagues.
~ Strong written communication and editing skills.
~ Able to manage multiple priorities, deadlines, and routine administrative processes with minimal supervision.
~ Professional judgment, responsiveness, and a service-oriented attitude.
~ Comfortable learning and using digital tools, including Google Workspace, ActiveCampaign, SalesForce and AI-assisted workflows.
~ Experience in administration, marketing, communications, publicity, media, or a related field preferred.
