Job Description

JOB TITLE: Administrative Assistant, Membership Services (Part Time, On-site)

REPORTS TO: Director of Membership Services

About The Catholic Medical Association:
Catholic Medical Association (CMA) is the largest association of Catholic individuals in health care. CMA helps members grow in faith, maintain ethical integrity, and provide excellent health care in accordance with the teachings of the Church. As a leading national voice on applying the principles of the Catholic faith to medicine, CMA creates and organizes educational resources and events; advocates for members, the Church, and the medical profession in public forums; and provides guidance for bishops and other national leaders on healthcare ethics and policy. CMA builds communities of support through local guilds and is dedicated to educating and supporting the next generation of physicians.

Primary Responsibilities:
The Administrative Assistant is responsible for ensuring an efficient workflow in the office by fielding incoming requests from various constituents and vendors, as well as providing administrative support to the Director of Membership Services. Data entry, mailings, answering phones, handling mail/email, responding to inquiries, reporting, managing organization calendar, and assembling meeting binders, are important tasks of this position.

The position includes, but is not limited to the following essential functions:

• Data entry in Raiser's Edge NXT database, Bill.com, and the CMA Members Community.
• Answer and route phone calls, manage phone system, phone tree.
• Route and respond to email in the general email inbox.
• Prepare and send three and six month "check in" emails to new members and prepare and send the monthly prayer intentions list to the National Chaplain.
• Manage office calendar, and organizational master calendar.
• Prepare for meetings and create meeting binders.
• Order office supplies as needed.
• Ensure general office cleanliness of common areas.
• Coordinate mailings from start to finish (mail merge, assembling, posting), including new member and Guild welcome packets.
• Maintain office files (electronic and/or file cabinets).
• Other tasks as assigned by Director of Membership Services.

Qualifications:
• Christ Centered, servant leader, professional dedicated to mission.
• Five years of professional experience and demonstrated success in a nonprofit organization.
• Successful experience in customer service settings.
• Excellent communication skills, both written and oral; ability to influence and engage a wide range of constituents and build long-term relationships.
• Strong organizational and time management skills with exceptional attention to detail.
• A professional and resourceful style; takes initiative, manages multiple tasks and projects at a time.
• Flexible and adaptable style; a person who can positively impact operational initiatives.
• Ability to work both independently without close oversight, but also a team leader who will productively engage with others at varying levels of seniority within and outside CMA.
• Mastery of MS Office Suite.
• Strong database experience, preferably in Raiser's Edge NXT.
• Ability to articulate and implement annual programmatic plans.

Additional Information:
• Hourly rate $18-20/hour.
