ADMISSIONS & ALUMNI RELATIONS ASSISTANT

Job Summary:
The Admissions & Alumni Relations Assistant plays a vital dual role in advancing Father Gabriel Richard High School's mission by supporting enrollment growth and strengthening lifelong alumni engagement. This vital team member will have a passion for Catholic education, be well organized, relational, proactive, and capable of managing multiple priorities with excellence. This role requires strong communication and relational skills, tons of initiative; professional demeaner, and the ability to execute both operational and strategic responsibilities. This is a full-time, year-round position reporting to the Director of Admissions & Alumni Relations and working in close collaboration with school leadership.

Major Responsibilities:
Admissions Assistant Responsibilities
Assist the Director of Admissions & Alumni Relations by supporting recruitment, enrollment strategy, and family engagement throughout the admissions cycle:
Revamp, manage, and execute FGR's Shadow Program, including scheduling, logistics, student ambassador coordination, and supply inventory;
Organize and support admissions events, including: the Freshman Welcome, New Parent Welcome, Accepted Student Night, Fall Open House, Prep Bowl, Spring Open House, events held at FGR family homes, events held at feeder schools, middle school nights at home athletic events, etc.;
Schedule meetings and manage communications between families and admissions leadership;
Monitor incomplete applications and send reminder communications;
Answer basic application questions and clarify deadlines;
Document new inquiries and track admissions touchpoints;
Assist with proctoring the High School Placement Test; and
Perform other duties as assigned.
Alumni Relations Assistant
Assist the Director of Admissions & Alumni Relations by strengthening alumni engagement, improving database systems, supporting donor cultivation efforts, and executing strategic alumni programming throughout the year.
• Assist in planning and hosting alumni events such as the Young Alumni Welcome Back Lunch, Homecoming, and the annual Golf Outing;
• Assist with outreach and execution of the alumni soccer game, baseball night, lacrosse game, and 3-on-3 alumni basketball tournament;
• Assist with class reunion outreach by gathering updated contact information, preparing donor cultivation reports, and archiving reunion assets;
• Proactively identify alumni success stories for feature articles, Q&A profiles, and social media;
• Create and manage affinity-based alumni lists (veterans, sports teams, activities, professional industries);
• Document all alumni touchpoints in Blackbaud; and create and maintain searchable tags to track event participation and engagement; and
• Perform other duties as assigned.

Required Skills and Experience:
• Bachelor's degree;
• Minimum of two years' professional experience in admissions, alumni relations, event planning, sales, development, or related field;
• Exceptional organizational skills and attention to detail;
• Excellent written and oral communication skills;
• High proficiency in Microsoft Office and CRM/database management;
• Ability to manage multiple projects in a fast-paced environment; and
• Ability to work collaboratively while taking ownership of assigned initiatives.
