Job Description

POSITION OVERVIEW
The Benedict XVI Institute is seeking an experienced Nonprofit Business Manager to support key financial and administrative functions across the organization. This person will help ensure that BXVI's accounting processes, payroll and benefits administration, donor records, and organizational reporting are accurate, well maintained, and running smoothly.
The Business Manager will work directly with the COO and alongside BXVI's Controller, and will take part in the organization's monthly financial review. We are looking for a capable, detail-oriented professional who can independently manage day-to-day financial and administrative processes as BXVI continues to grow. Because BXVI is a Catholic organization, we are looking for someone who is Catholic or Catholic-friendly, and whose life and conduct reflect and support our mission.

KEY RESPONSIBILITIES

Accounting and Financial Systems
• Maintain a strong working command of QuickBooks Online, including the chart of accounts, classes, journal entries, reconciliations, and financial reporting
• Support the monthly financial close, helping ensure transactions are properly recorded and reconciliations are completed on time
• Assist with monthly reconciliations for bank accounts, credit cards, accounts payable, and other balance sheet accounts
• Help identify and flag unusual transactions, errors, or miscoding for follow-up
• Assist in preparing monthly financial statements and supporting materials for leadership review

Accounts Payable and Expense Management
• Upload, review, and categorize receipts and invoices in Bill.com and Divvy
• Apply correct class codes to transactions for accurate program and fund reporting
• Collaborate with leadership to design and refine BXVI's class and coding system as the organization grows
• Serve as a primary internal resource for Bill.com and Divvy, including troubleshooting and process improvement
• Recommend additional tools or software that could improve BXVI's financial workflows and reporting

Donor Database and Reporting
• Reconcile Bloomerang, BXVI's donor management system, against QuickBooks Online on a regular basis
• Follow up on outstanding donor pledges and keep pledge records current in Bloomerang
• Prepare donor and financial reports for leadership, the board, and funders
• Assist with tracking restricted and designated funds and ensuring that related income and expenses are properly recorded and reported

Human Resources and Employee Administration
• Coordinate onboarding logistics and paperwork for new employees
• Set up and maintain state payroll tax and state unemployment tax accounts as BXVI hires in new states
• Enroll and maintain employees in health and retirement benefit plans
• Serve as a first point of contact for employee questions about payroll, benefits, and onboarding
• Maintain organized employee and administrative records and help improve HR and administrative processes as the organization grows

Budgeting, Planning, and Organizational Support
• Partner with the COO to build BXVI's annual organizational budget
• Help prepare and maintain budget-to-actual reporting and flag variances for review
• Assist in monitoring cash balances and upcoming obligations
• Support preparation of financial materials for board meetings and funder reporting
• Participate in BXVI's monthly financial review
• Assist with year-end close and preparation of supporting documentation for the organization's CPA or annual financial review

Process Support and Documentation
• Help document financial processes and procedures to support consistency and organizational knowledge
• Identify opportunities to improve BXVI's financial systems, workflows, and use of technology, and share recommendations with leadership
• Coordinate with BXVI's Controller and outside financial professionals as needed

QUALIFICATIONS
• Strong command of QuickBooks Online, including reconciliations, classes, journal entries, and reporting
• Hands-on accounting or bookkeeping experience, with the ability to independently manage day-to-day financial and administrative processes
• Solid understanding of account reconciliations and financial statements
• Hands-on experience with Bill.com, including invoice workflow and transaction coding
• Strong organizational skills, attention to detail, sound judgment, and discretion
• Comfort working independently in a remote environment while communicating regularly with the COO and finance team
• Strong technology skills, particularly Excel and Google Sheets
• Practicing Catholic or Catholic-friendly, with a personal life consistent with the moral teachings of the Catholic Church, and a willingness to actively support BXVI's mission

Highly Desired
• Experience with Divvy
• Nonprofit accounting experience
• Experience with Bloomerang or another nonprofit donor management system
• Experience with payroll administration, benefits administration, or multi-state payroll tax registration
• Experience with annual budgeting, cash flow planning, financial reporting, audit or review preparation, or working with an outside CPA

WHO SHOULD APPLY
This role is well suited to an experienced nonprofit finance professional, bookkeeper, accountant, or CPA looking for a meaningful part-time engagement. We welcome individual contractors and accounting or bookkeeping firms that can provide a qualified professional to work with BXVI under the direction of the COO. What matters most is that the work is done with accuracy, consistency, sound judgment, and discretion.

SCHEDULE AND COMPENSATION
• Part-time and fully remote, approximately 10 to 20 hours per week depending on workload
• Compensation: $23 to $48 per hour. This is a wide range intentionally, since compensation is based on the candidate's experience level and geographic location
• Regular check-ins with the COO to review priorities, workload, and financial matters
