Job Description
Title: Operations ManagerHours: Will consider Full Time & Part Time (27 hrs/Week or more)
Reports to: Executive Director
Pay: Hourly
Direct Reports: yes
CORE RESPONSIBILITIES:
Acting process guru of the organization, ensuring the most efficient and client friendly approaches are brought to completion. Collaborate with all departments to guarantee seamless communication and execution of goals and Traction rocks.
FINANCIAL, INSURANCE, IT
Oversee all bookkeeping, financial reporting, and 990's.
Assist executive director with budget development and adherence.
Oversee cost modeling and scholarships.
Ensure that sales and finance have clear communication.
Ensure organization is protected from liability by managing:
• Insurance coverage,
• Virtus safety adherence
• IT administration, including Microsoft admin, vendor relationships
• Ensure all checks are copied, money handling follows all appropriate procedures (petty cash, checks, copying and payment tracking).
• Assist development with CRM oversight ensuring accounting software and donor database tie out monthly. Ensure all checks are copied, money handling follows all appropriate procedures (petty cash, checks, copying and payment tracking).
CLIENT / SALES COMMUNICATION & COORDINATION
• Create client agreements, and ensure all are signed on time
• Create and oversee procedures that facilitate successful sales processes and workflow
• Assist Programs director and assessment team with qualification and sales processes
• Collaborate with programs director on coaching capacity rocks ensuring client coaching efficiencies
MANAGEMENT & HR
Advertise, recruit and vet candidates in line with organizational culture and position fit
Maintain an active database of candidates to meet client needs
Actively recruit/ hire staff to meet the needs of the sales process with new clients coming in
Create and administer annual performance review process in line with EOS and culture.
Assist directors with implementation of professional development programs
Manage employee handbook, assist in drafting new policy and procedures
SECONDARY RESPONSIBILITIES
• Part of the leadership team of the organization.
• Work with programs team to ensure semester and summer scheduling have resources they need including but not limited to proper insurance riders, principal sign off, Virtus compliance, equipment such as laptops, ipads, spellcheckers, program levels.
• Oversee all inventory and purchase supplies and manage the item check in/out procedures ensuring inventory list is up to date and proper depreciation is done.
• Manage all mail distribution and pickups. Help oversee mailroom.
• Volunteer coordination if needed
