Job Description

Position Summary
The Development Coordinator works directly with the Chief Development Officer (CDO) to ensure the effective day-to-day functioning of the Office of Development. This is accomplished, in part, through the following: ensuring that donor communications are performed appropriately and in a timely manner, assisting the CDO as needed with fundraising activities within the diocese, specifically with the Diocesan Ministries Appeal (DMA) and any special projects/events. The Development Coordinator works collaboratively with the Database Administrator to ensure that all donor information is shared internally and processed accurately. The Development Coordinator/Admin will perform other duties as needed for the proper function of the Development Office.

Major Responsibilities and/or Essential Functions
Constituency Services
• Responding to routine inquiries, by telephone, email or through other means, from individuals, organizations, donors and parishes.
• Issuing receipts or other correspondence when requested by donors.
• Providing support to parishes during the DMA.
• Generating word documents for parish rebate letters and donations of securities.
• Generating thank you letters to major donors and clergy for the Bishop's signature.
• Preparing and sending Appeal responses to lockbox vendor.
• Creating promotional content for DMA, including via social media, in collaboration with our Office of Technology.
• Creating and sending email communication and assisting parishes by promoting the DMA through eCatholic, Facebook and Instagram.
• Maintaining strict confidentiality when handling donor's personal information and giving history.

Development Support
• Web page liaison for photos, logos, text related to the DMA.
• Working with diocesan Technology Office in creating/updating and maintaining Development webpage and DMA webpage
• Assisting in processing of donation payments
• Serving as lead on-site coordinator, key contact, and scheduler for DMA brochure photo shoots and the filming of the DMA video(s), including film locations and people included in any videos and assistance with final editing.
• Organizing, planning and executing special development events throughout the year, such as major-gift receptions and DMA meetings.
• Taking minutes of Catholic Charities Development Committee meetings.
• Attending meetings with pastors regarding parish fundraising needs.
• Researching, creating and leading opportunities to grow development office donor outreach efforts.
• Serving as the lead coordinator of all internal activities related to In-Pew responses from the DMA, including ordering materials needed, preparing an 'assembly line' of activities and maintaining organized and accurate accounts for all parish donations.

Office Support Activities
• Being able to travel to the Paterson Post Office and the Diocesan Center in Clifton several times a month to pick up development materials/correspondence.
• Submitting departmental invoices to business office for payment.
• Routing all telephone calls to appropriate development staff.
• Assisting in maintaining development department timeline.
• Providing support as needed for any and all development activities.
• Coordinating and assisting in managing department vendor relationships
• Lay Appeal Chairperson Coordinator-responsible for tracking and retaining parish Appeal chairperson information and disseminating operational and marketing information to the LACs regarding the annual Appeal.
• Editing and proofreading text, brochure and letter copy for the CDO.
• Formatting and distributing electronic communications to parish pastors and development donors as necessary.
• Performing normal clerical activities - copying, addressing envelopes, sending information to parishes, etc.

Knowledge, Skills, & Experience
• 2-4 years experience in a position within a complex organizational environment.
• Comprehensive understanding of Windows based Microsoft Office word processing, mail merge, Excel, database, spreadsheet and internet explorer programs; knowledge of Raisers' Edge software/database a plus
• Being bilingual is a plus so as to be able to assist in translation of Development materials and in assisting Spanish speaking pastors and donors.
• Excellent oral and written communication skills
• Excellent organizational and time management skills
• Strong ability to prioritize and manage multiple tasks
• Self-sufficient/self-starter with majority of tasks completed independently
• Ability to recommend and make improvements to current structures/protocols to increase efficiency
• Works well in a quiet environment as well as being a team player
• Ability to initiate and nurture interdepartmental collaborations for various projects
• This individual must be highly organized and able to document all development activities thoroughly as well as assist in preparing detailed calendars and timelines so that the development work stays on schedule.

This position requires some minimal evening/weekend work throughout of the year.

Education
Bachelor's Degree or 2-4 years direct related experience preferred
