Position Title: Development Administration Coordinator
Department: Donor Development
Reports to: Sr. Manager, Development Operations & Administration
Position Location: (Remote)
Position Summary:
The Development Administration Coordinator provides essential administrative and coordination support that enables the Development department to operate efficiently and consistently. Working closely with the Senior Manager of Development Operations, the Director of Strategy & Operations, and the Vice President of Development, the Coordinator ensures that key processes-such as financial reviews, committee preparation, leadership meetings, and internal communications-are organized, accurate, and delivered on time.
Educational or Certification Requirements:
• Bachelor's degree or equivalent experience in administration, nonprofit operations, business, or a related field.
• 2-5 years of administrative, coordination, or operations support experience, preferably in a nonprofit or development environment.

• Proven ability to work independently and collaboratively with donors and team members
• Sensitivity to Christian-based fundraising

• Strong written, verbal, and interpersonal communication skills
• Strong organizational skills and attention to detail
• Ability to manage high-volume outreach with consistency and personalization
• Proficiency in CRM systems
• Analytical skills to evaluate donor data and identify upgrade opportunities.
• Ability to collaborate across development and advancement teams
• This role requires the ability to perform standard office functions, including prolonged sitting, standing, and computer use. Occasional lifting, carrying, or moving materials weighing up to 20 pounds may be required.
• This position may require occasional domestic and/or international travel to attend meetings, trainings, conferences, or organizational events. Travel may be conducted by airplane, automobile, bus, or other reasonable means. Travel frequency is expected to be limited and scheduled in advance when possible.
Duties
Administrative & Departmental Coordination
• Provide daily administrative support to Development leadership, including calendar coordination, document preparation, expense processing, and meeting logistics.
• Coordinate scheduling, agendas, materials, and follow-up for recurring Development meetings, committees, and leadership forums.
• Assemble presentations, reports, and briefing materials as needed
• Maintain organized documentation, shared files, and internal resources to ensure accessibility and consistency across the department.
Financial Review & Reporting Support
• Prepare quarterly review templates and supporting financial documentation for Development directors and budget managers.
• Distribute monthly and year-end financial reports by department or cost center.
• Track completion of financial reviews and follow up to ensure timely submission.
• Compile departmental content for board or leadership reporting and coordinate formatting for final distribution.
Committee & Project Coordination
• Support preparation and execution of Development committees and working groups by gathering inputs, preparing materials, and tracking action items.
• Monitor timelines, deliverables, and follow-up across active initiatives to help ensure progress and accountability.
• Coordinate logistics and communication for department-wide trainings, leadership forums, and internal meetings.
Internal Communication & Documentation
• Maintain Development intranet and SharePoint with current resources, updates, and materials.
• Support preparation and distribution of internal announcements, summaries, and departmental updates.
• Ensure consistent formatting and presentation across Development communications and reports.
• Support onboarding logistics for new team members, including scheduling orientation meetings and preparing documentation.
Collaboration & Support
• Serve as an administrative liaison between Development leadership and internal partners such as Finance, HR, Marketing, and IT.
• Provide coordination and follow-through that supports departmental planning, budgeting, and operational readiness.
• Identify opportunities to improve administrative efficiency, organization, and consistency across Development processes.
