Job Description
Job Title: Operations ManagerReports to: Pastor
FLSA Status: Exempt, Full-Time
Position Summary
The Operations Manager serves as the administrative partner of the Pastor, responsible for leading and coordinating the business, financial, and operational functions of St. Matthias Parish and School. This role works in close collaboration with the Pastor, Principal, and parish staff to ensure that daily operations run smoothly and effectively.
This role oversees and supervises the entire parish office staff, establishes strong systems and processes, and fosters a collaborative, efficient, and a mission-driven workplace. In addition to day-to-day management, the position provides leadership in long-term planning and oversight of key areas including payroll, budgeting, financial administration, vendor and contract management, and operational vision for both parish and school.
Essential Functions
Operations & Office Administration
• Meet regularly with the pastor and conduct weekly meetings with all staff employees
• Oversee day-to-day operations of the parish office to ensure smooth workflow and communication
• Maintain parish records with accuracy and confidentiality
• Coordinate parish calendar, scheduling facilities, and ensuring proper use of parish resources
• Oversee vendor contracts, supplies, and general office management
• Support implementation of parish initiatives, events, and strategic plans
Financial Administration
• Work with the pastor, financial controller, and finance council to develop, monitor, and manage parish and school budgets
• Oversee accounts payable, receivable, and general ledger functions in coordination with the financial controller
• Ensure timely preparation of financial statements, reports, and forecasts for pastor and finance council review
• Monitor parish collections, contributions, and fundraising income, ensuring proper counting, recording, and reporting procedures
• Ensure compliance with diocesan financial policies and reporting requirements
• Support stewardship and long-term financial planning efforts
Personnel & Compliance
• Supervise, train, and support parish office staff to foster a collaborative and professional work environment
• Assist in hiring, onboarding, performance evaluations, and conflict resolution for staff
• Ensure compliance with diocesan policies, employment regulations, and legal requirements
• Maintain personnel records and oversee payroll processing in collaboration with the pastor
• Implement parish policies, procedures, and risk management protocols to safeguard people, property, and finances
Qualifications
• BA or MA in Business Administration, Accounting, Finance, Nonprofit Management, or related field required
• Minimum of 5 years of progressive leadership experience in operations, finance, or administration, preferably in a church, school, or nonprofit setting.
• Strong knowledge of accounting principles, HR practices, and facility management.
• Excellent organizational, communication, and leadership skills.
• Commitment to the mission and values of the Catholic Church.
• Ability to work collaboratively with clergy, staff, volunteers, and parishioners.
• Must be proficient in Microsoft Office, QuickBooks, and Payroll Software
Salary Range: $65,000-75,000 (based upon experience)
