As we grow, we are looking for a sharp, dependable, and personable Receptionist to serve as the welcoming first point of contact for our clients and to keep our office running smoothly.

Position Summary

As Receptionist, you will present a professional and prompt first impression of the firm for our clients while supporting the day-to-day operations of the office. You'll serve as the internal point of contact between our team, our partners, and our prospective clients, and you'll help prepare the estate planning document binders that clients receive at the completion of their planning.

This role suits someone who is self-motivated and thrives when trusted to own their responsibilities - someone who brings a warm client presence and hospitality instincts, careful attention to detail, and the organizational talent to juggle multiple tasks. After an initial training period, the goal is to develop into the primary "face" of the firm: the first contact for all incoming leads and clients.

Key Responsibilities

Reception
• Greet clients in the office with a warm and professional hospitality
• Support the intake process by fielding inquiries
• Maintain 5-minute response times to all inbound leads
• Occasionally schedule estate planning consultations and coordinate client communications
• Manage schedules, correspondence, and day-to-day administrative tasks for firm leadership

Estate Planning Document Binders
• Prepare estate planning document binders accurately and on schedule ahead of client signing appointments
• Assemble, organize, and format binder contents in accordance with firm standards
• Proofread binder contents for completeness and accuracy prior to client delivery
• Maintain binder supplies, templates, and organization systems
• Coordinate with attorneys and staff to ensure binders reflect the most current, finalized documents

Qualifications

Education & Experience
• High school diploma required; associate's or bachelor's degree a plus
• 2+ years of experience in customer service, reception, administrative support, or a similar role (preferred)
• Experience in a law firm or professional services office a plus
• Experience preparing formal documents or client-facing materials a plus

Skills
• Highly self-motivated - you do your best work when trusted to own your responsibilities
• Strong organizational and administrative skills; comfortable juggling multiple priorities
• Warm, professional client presence - in person, on the phone, and in writing
• Careful attention to detail, especially when preparing and proofreading client documents
• Proficiency in Microsoft Office and Google Suite
• Comfortable learning new platforms and tools quickly

Compensation & Benefits

• Salary range: $35,000-37,500 (negotiable), based on experience and fit
