Job Description

The Cathedral of the Madeleine seeks an experienced leader to serve as Liturgy Administrator, directing the planning and day-to-day execution of the Cathedral's liturgical life.

This is not primarily a desk position. Reporting to the Directory of Liturgy, the Liturgy Administrator is an active presence before, during, and after every major liturgy, leading rehearsals, directing ministers, coordinating logistics, solving problems in real time, and ensuring every celebration unfolds with reverence, precision, and hospitality.

The ideal candidate is a practicing Roman Catholic in good standing who thrives in dynamic environments and enjoys leading people, coordinating complex events, and turning thoughtful planning into seamless execution. Candidates with backgrounds in liturgical administration, stage management, event management, conference planning, hospitality, project management, or other live production environments are encouraged to apply.

ESSENTIAL RESPONSIBILITIES
Liturgical Operations
• Lead the planning and execution of Cathedral liturgies, sacramental celebrations, diocesan events, concerts, and special events.
• Direct liturgical operations before, during, and after each celebration, ensuring ministers, clergy, musicians, volunteers, and worship spaces are fully prepared.
• Lead rehearsals and provide instruction to liturgical ministers, ensuring confidence, consistency, and reverence in their roles.
• Oversee the real-time execution of liturgies, anticipating needs, resolving challenges, and adapting quickly as circumstances change.
• Develop production schedules, planning documents, timelines, and operational checklists.
• Coordinate liturgical planning with visiting groups and the Diocesan Office of Worship.
• Collaborate with clergy, Cathedral staff, musicians, and the Madeleine Choir School to support the Cathedral's worship life.

Leadership & Volunteer Management
• Supervise the Liturgy Coordinator and Cathedral sacristans.
• Recruit, train, schedule, and lead liturgical ministers, including lectors, extraordinary ministers of Holy Communion, altar assistants, ushers, sacristans, sextons, Masters of Ceremony, and student ministers.
• Provide ongoing coaching and formation to ensure ministers are prepared to serve with excellence.
• Manage the electronic scheduling system and maintain regular communication with volunteers.
• Develop systems that strengthen volunteer recruitment, engagement, scheduling, and retention.
• Foster a culture of hospitality, accountability, teamwork, and servant leadership.

Sacramental Coordination
• Coordinate the logistical planning and execution of weddings, funerals, baptisms, quinceaneras, ordinations, and other sacramental celebrations.
• Serve as the primary operational contact for families following their initial meeting with clergy.
• Coordinate clergy, musicians, ministers, volunteers, and funeral homes to ensure every celebration is fully prepared.

Administration & Resource Management
• Prepare Presider Books, worship aids, service leaflets, and other liturgical materials in accordance with Cathedral branding and communications standards.
• Maintain liturgical calendars, scheduling systems, records, and departmental procedures.
• Purchase, inventory, maintain, and safeguard liturgical supplies, vestments, sacred vessels, candles, books, equipment, and sacristy resources.
• Ensure worship spaces and liturgical resources are prepared for every celebration.
• Identify opportunities to improve operational systems and departmental effectiveness.
• Perform other duties as assigned.

QUALIFICATIONS
Required Qualifications
• Practicing Roman Catholic in good standing with a commitment to the mission of the Cathedral and Diocese.
• Bachelor's degree OR equivalent combination of education and experience.
• Three or more years of experience leading complex events, productions, operations, or liturgical ministries.
• Exceptional organizational, leadership, project management, and communication skills with strong attention to detail.
• Experience supervising staff and leading volunteer teams.
• Ability to manage multiple priorities, solve problems in real time, and remain calm under pressure.
• Proficiency with Microsoft Office, Google Workspace, Adobe InDesign, and calendar management software.
• Ability to work a flexible schedule, including evenings, weekends, and major liturgical celebrations, and to actively support liturgies by standing, walking, and occasionally lifting liturgical equipment and supplies.

Preferred Experience
• Experience in liturgical administration, stage management, event management, conference planning, hospitality, project management, or other live production environments.
• Familiarity with Catholic liturgy, musical notation, and Spanish language proficiency.
