Job Description
Boston Catholic Development Services is seeking an experienced and detail-oriented Development Database and Prospect Manager to oversee the strategic and operational management of the Raiser's Edge CRM database. This role is essential to the success of all fundraising programs, including the Annual Catholic Appeal, Major and Planned gifts, and current/future Capital Campaigns. The Manager plays a key role in data-driven fundraising, including prospect list identification, generation and segmentation for direct mail and major gift fundraising efforts throughout the year.ESSENTIAL DUTIES AND RESPONSIBILITIES:
CRM Database Management
Oversee day-to-day operations of the Raiser's Edge CRM system, ensuring high-quality, qualified data to support the Annual Catholic Appeal, Major Gifts, Planned giving, and Capital Campaigns.
Ensure donor records are accurate, complete, and up-to-date, supporting effective donor engagement, solicitation, and stewardship.
Manage user access, troubleshoot issues, and coordinate with Blackbaud support as well as internal IT and operations teams.
Identify and implement system improvements, including integrations, wealth screening, and donor segmentation tools.
Reporting & Analytics
Design, build, and maintain regular and ad hoc reports, dashboards, and data exports for use by leadership, development staff, finance team, and campaign teams.
Analyze donor and campaign data to uncover trends, gaps, and opportunities for strategic action across all fundraising efforts.
Collaborate with the Finance team to reconcile giving totals and fund designations-particularly for restricted gifts and capital campaign.
Direct Response & List Management
Work closely with the Catholic Appeal Manager to manage the creation and segmentation of mailing and email lists for direct response fundraising, stewardship, and other donor communications.
Oversee the integrity of contact records to ensure accurate targeting and personalization across all Annual Catholic Appeal campaigns.
Maintain and optimize campaign codes, attributes, and list tracking to support year-round appeal analysis and performance evaluation.
Prospect Research & Portfolio Development
Conduct research and use database tools to identify major gift and planned giving prospects ($25K+).
Maintain up-to-date prospect profiles, tracking systems, and moves management tools in support of the major gifts team.
Deliver prospect lists and strategic insights for appeal upgrades, capital campaign outreach, and donor pipeline development.
Team Support & Training
Provide staff training and support on Raiser's Edge and RE NXT, including data entry, queries, reporting, and moves management.
Develop and maintain documentation and protocols that ensure data accuracy and consistency across departments.
Serve as a resource for campaign teams and development staff, offering guidance on data structure, entry, and reporting best practices.
Data Integration & Cross-Department Collaboration
Collaborate with Finance to reconcile gift data, manage fund designations, and ensure proper revenue reporting.
Oversee third-party data imports and tools that support prospecting, donor engagement, and fundraising performance including acknowledgment letters and stewardship reports
Partner with marketing, digital, and communications teams to ensure seamless integration of data for donor outreach.
QUALIFICATIONS:
Bachelor's degree required.
Minimum of 5 years' experience in a fundraising, CRM, or data analytics role-Raiser's Edge experience is required.
Proven experience in prospect research, campaign list generation, and major gift support.
Strong proficiency in Microsoft Excel, data exports, and CRM query/reporting tools.
Demonstrated ability to manage multiple priorities with a high attention to detail and accuracy.
Strong communication and collaboration skills, especially working cross-functionally with development, communications, and finance.

PHYSICAL PERFORMANCE ELEMENTS:
Ability to use a computer keyboard for up to 8 hours/day.
