Job Description
POSITION SUMMARY: The Executive Assistant supports the Vicar General / Moderator of the Curia in the exercise of executive governance by coordinating office operations, facilitating communication and follow-through on key initiatives, and ensuring the effective implementation of the priorities established by the Archbishop of Boston.ESSENTIAL DUTIES AND RESPONSIBILITIES:
• Oversee the daily operations of the Office of the Vicar General.
• Coordinate administrative operations and workflow to enhance the efficiency and effectiveness of the office.
• Monitor, coordinate, and track operational follow-through for projects and initiatives assigned by the Vicar General, including scheduling priorities and supporting implementation.
• Coordinate calendar and scheduling priorities.
• Organize and manage events and programs as needed.
• Prepare meeting materials and oversee meeting follow-up
• Triage incoming inquiries and handle high level, sensitive, and confidential matters with discretion and sound judgment.
• Serve as a principal administrative point of contact for the Office of the Vicar General.
• Research, draft, edit, and review correspondence.
• Manage expense records for the Vicar General
• Make travel arrangements when needed.
• Anticipate office needs in all administrative areas under the Vicar General and follow through on initiatives with little direct supervision.
• Collaborate with archdiocesan parishes and departments in a positive and professional manner.
• Maintain effective working relationships with clergy, diocesan and parish leadership, board members, and external partners.
• Other duties as assigned.
QUALIFICATIONS:
• Bachelor's degree preferred.
• Minimum of 8-10 years of experience in executive support.
• A commitment to the mission of the Catholic Church and a strong understanding of the mission, structure, and governance of the Catholic Church and Catholic identity.
• Demonstrated ability for organization and coordinating multiple projects and priorities simultaneously.
• Ability to anticipate needs and establish priorities.
• Excellent written and verbal communication skills, including the ability to communicate effectively through e-mail and/or telephone.
• Ability to remain composed, professional, and attentive to detail in a fast-paced and frequently changing environment.
• Ability to work collaboratively and effectively with clergy, lay leadership, and external stakeholders.
• High level of proficiency in Microsoft Office and working knowledge of related technology and office systems.
• Proven ability to exercise sound judgment, discretion, and confidentiality.
PHYSICAL PERFORMANCE ELEMENTS:
• Ability to use a computer keyboard for up to 8 hours/day.
• Ability to sit for up to 8 hours/day.
• Ability to lift up to 20 pounds.
