Job Description

Director of Operations

Providence Academy, an independent Pre-K through Grade 12, private, Catholic, classical academy located in La Crosse, Wisconsin, is seeking a full-time Director of Operations.

All applicants must be practicing Roman Catholic. A passion for serving and supporting children and their families is necessary to be successful in this role. They must demonstrate excellent management, organizational and communication skills, basic accounting skills (or ability and willingness to learn the same), have the ability to multitask, work with frequent interruptions, and be able to coordinate projects and schedules in a fast-paced environment. Most importantly, applicants must possess professionalism, confidentiality, attention to detail, and ability to work independently. Applicants need not have an educational background; professional experience in other sectors will be considered. Additional responsibilities include, but are not limited to:

• Provide administrative support to the Executive Director by maintaining schedules, planning, scheduling and attending meetings and any other requests by the Executive Director
• Supervise and provide guidance for office staff and volunteers
• Assist with school communications and all class/faculty schedules
• Conduct research, compile data, prepare documents and presentations
• Coordinate and lead all school-initiated event planning, assist with all parent-initiated events
• Assist faculty in the generation of student progress reports and quarterly report cards
• Assist faculty and staff with computer issues and liaise with computer company
• Maintain the integrity of the school's security system, which includes assignment of entry badges, camera system, etc.
• All areas of the school's accounting/bookkeeping duties, including budget support
• Oversee all vendor operations
• Oversee vendor contracts and alert Board on renewals
• Maintain/oversee the buildings and grounds, i.e. classroom painting, equipment repair and maintenance
• Develop and maintain all family tuition agreements, revised tuition agreements, and payments both in School accounting system & in the Student Information System
• Implement and maintain student information systems
• Complete annual insurance coverage documentation
• Complete all annual tax documents, including building documents, tax letters, etc.
• Maintain the Scrip program
• Supervising raffle licenses, renewals, and reports
• Facilitate annual pledge drive, process all donations, and distribute all donor letters and gifts
• Work with Executive Director in approving hourly faculty payroll and PTO in Paylocity and logging payroll in QuickBooks
• Producing and distributing all faculty contracts
• Improving and maintaining all filing systems, both financial and student systems
Strong computer skills with proficiency in Microsoft Office Suite is required. General bookkeeping knowledge and experience with Quick Books accounting software is strongly preferred.
The work schedule is Monday-Friday with the ability to work some evenings and weekends as needed for school events. The position is year-round with a modified summer schedule.
