Job Description
The Director of Operations is responsible for oversight of all Retreat Center day-to-day operations, including: kitchen, housekeeping, guest registration, facilities maintenance and administrative support for retreat programs. The Director will supervise the Cook, Assistant Cook, and two Housekeepers as well as volunteers. The Retreat Center offers retreats on most weekends, from Friday-Sunday, and personal retreats during weekdays. The Center also hosts special events occasionally. This position offers schedule flexibility during the week but requires weekend availability.RESPONSIBILITIES Including but not limited to the following:
Administrative
• Respond to prospective retreatant inquiries
• Manage retreat registrations process
• Provide accounting support
• Manage expense reporting process
• Manage payroll reporting process
• Assist with retreat scheduling
• Update the website as necessary
• Send email newsletter updates
• Maintain various spreadsheets
Food and Beverage
• Perform menu planning with kitchen staff for all events
• Manage kitchen staff, ensuring shopping, meal prep and cooking is covered for upcoming events
• Oversee day-to-day operations within budgeted guidelines and to the highest standards
• Ensure that all of the food and drinks are of the highest quality and customers are satisfied with food and service.
• Ensure compliance with all health and safety regulations
Housekeeping
• Oversee scheduling of housekeeping staff
• Maintain retreat center at the highest standards of orderliness and cleanliness inside and out
• Oversee stocktaking and ordering of cleaning equipment, linen and room supplies
• Ensure sanitization of retreat center between uses/events
Facilities
• Ensure the beauty and functionality of the grounds and buildings
• Oversee maintenance staff
• Check for faults or damage and arrange for repairs and routine maintenance work
Human Resources
• Oversee the development of staff and volunteers proportionate to organizational needs
• Oversee recruitment by preparing job descriptions, posting ads and managing the hiring process
• Create and implement effective onboarding, training, and development programs
QUALIFICATIONS
• BA Degree or equivalent
• Minimum 2 years supervisory experience required
• Detail oriented
• Ability to handle multiple priorities simultaneously and effectively
• Outgoing personality with excellent communication skills
• Ability to communicate with a wide variety of customers, colleagues, and vendors
• Strong time management and organizational skills
• Experienced working with MS Office Excel and Word
• Ability to learn Wix, Constant Contact, and registration software platforms
• Practicing Catholic
COMPENSATION AND BENEFITS
Competitive salary, $70k to $90k commensurate with experience, along with a comprehensive benefit plan. Current benefits include 10 days of paid vacation leave, 5 days of sick leave (accrues to a max of 20), 2 personal days, 13 paid holidays, employer health care plan (HSA and PPO options available), state paid short-term disability, employer paid Basic Life Insurance ($50k), optional employee paid long term disability and additional life insurance for employee, spouse and dependents and a 401k plan with company match.
Position reports directly to CEO and indirectly to Chief Programming Officer
