Job Description

The primary responsibility for the Ministry & Sales Associate/Receiver for Pauline Books & Media Center is to promote the Gospel message by determining the customer's needs and assisting the customer until their needs are sufficiently satisfied. They are to show a genuine concern and desire to serve each person with respect. The Ministry & Sales Associate/Receiver understands that every customer is every Sales Associate's responsibility. When customers request items to be shipped the Sales Associate prepares these items for mailing out. It is the Sales Associate's responsibility to know the Catholic faith, the products and different types of customers. The Ministry & Sales Associate/Receiver also receives products into the store. This role is accomplished in collaboration with the PBM Center. The Ministry & Sales Associate/Receiver position requires that the Sales associate be highly proficient in both speaking and reading English and Spanish.

REPORTS TO: PBM Center Manager

SPECIFIC ACTIVITIES:

1. Promotes the Gospel message by determining the customer's needs and assisting them until their needs are sufficiently met. This includes both customers present in the store and those who call into the PBM center.

2. Available to serve Spanish speaking customers in the Center or on the phone.

3. Takes Customer Special Orders when items are not readily available.

4. Follows up with Customers who have orders ready for pick-up.

5. Processes mail and customer orders for shipment.

6. Opens parcels containing product ordered for Pauline Books & Media.

a. Checks all items in the box(es) against each packing slip and original purchase order.

b. Inspects items to ensure that they arrive in good condition.

c. Process purchase receipt in computer; prints barcode labels, and matches them to the items.

d. Matches any customer special orders to items received; notifies customers that their item(s) have arrived. e. Brings new and seasonal titles to the attention of the manager.

f. Alerts manager to any damages or discrepancies in the shipment-otherwise files away the paperwork in the appropriate folders.

g. When necessary, communicates with vendors regarding any questions or discrepancies on the purchase orders.

7. Correctly places product in respective categories.

8. Cleans bookshelves and areas assigned by the manager.

9. Cleans front glass windows and doors.

10. Keeps front counter, counter drawers, and work areas clean and uncluttered

11. Understands that her/his performance reflects the Pauline team's performance

12. Understands that "someone else's mistake may be mine to fix."

13. Dresses in professional attire according to the standards in the PBM Center policy manual.

14. Maintains confidentiality regarding all PBM Center operations and finances

15. As possible attends staff meetings, making a contribution with both positive and constructive feedback for the growth of the mission and the good of the performance of the PBM Center.

16. Follows the direction of the Manager with minimal supervision.

17. Performs any other task as indicated by the Manager.

18. Is willing to be cross-trained for other duties at the PBM Center.

JOB COMPETENCIES:

KNOWLEDGE

Proficient knowledge of the Catholic faith, Catholic culture, and products offered

Capable of understanding the complete point of sales and mail order processes and the ability to retain this information

Proficiency in speaking, reading, and writing in both English and Spanish

Basic math skills (High School Level)

Grammar and reading skills (High School Level)

Organized and creative in regard to the use of time

Capable of working with responsibility and initiative with minimum supervision

Capable of standing for most of the working hours

Able to lift boxes up to 40 lbs.

Able to handle change as up-dates happen

Capable of maintaining confidentiality regarding all Book Center operations and finances

Able to contribute toward the growth and development of the Pauline mission by pointing out areas that are progressing well and other areas that need improvement

Capable of maintaining the security of Pauline Books & Media by keeping doors to the back area locked at all times

Able to consistently maintain a safe working environment, keep the work area clean, empty waste receptacles and keep floors and aisles clear

A familiarity with current technology and devices and their use - e.g. internet, smart phone and tablet
