Position Reports to: The Provost
Department: Academic Affairs
FLSA Status: Non-exempt
Schedule: Full-time; Monday - Friday, 8:30 a.m. - 4:30 p.m.

POSITION SUMMARY
The Executive Administrative Assistant will provide administrative and clerical support to the Provost in high level collaboration between the division of Academic Affairs and other major divisions on campus, as well as support the Provost in forming and sustaining external partnerships while managing the schedule of the Provost.

PRIMARY RESPONSIBILITIES
1. Assist in the collaboration of the Provost's office with the President's Office, and/or offices of other members of University administration.
2. Work with School Deans, Department Chairs and Program directors each fiscal year to forecast budgetary needs of the Academic Affairs Division and the ongoing monitoring of the same.
3. Collaborate with the President's Office and Franciscan University's Board of Trustees, including preparing the Academic Affairs Board report and coordinating meetings with the same prior to regularly scheduled board meetings.
4. Participate in the weekly Senior Academic Affairs Leadership Meeting.
5. Support the Provost in building external partnerships and expanding the reach of Franciscan education.

REQUIREMENTS
Must understand, support, and embrace the mission of Franciscan University of Steubenville and possess the following:

Work Experience
• 1-3 years of experience working in administrative support or management.
• 1-3 years of experience with accounting, bookkeeping, payroll, or related work preferred.

Competencies
• Demonstrate excellent organizational skills with the ability to prioritize and meet deadlines.
• Communicate accurately and effectively particularly with constituents outside of the University.
• Ability to work independently to accomplish projects, handle confidential and sensitive material with discretion.
• Strong interpersonal skills, work well under pressure, provide professional customer service to all University constituents.

Education
• Bachelor's degree or equivalent experience required; MBA preferred.

Technical Skills
• Experience in clerical/administrative support with keen attention to detail.
• Excellent oral and written communication, writing/proofreading ability.
• Proficiency with Microsoft Office Suite, Microsoft Teams required, database management tools and Power BI preferred.

Workplace Factors
• Able to work in person/onsite with occasional remote work options.
• May need to respond to administrative or technical issues during off hours and weekends.
