Job Description
St. Edith Stein School for Girls (SES) is looking for an administrative assistant to support the Headmistress in day-to-day operations and administrative matters. SES is a growing school entering its ninth year with near-term goals of increased enrollment and full-time staff.The Administrative Assistant will support the Headmistress through executing administrative tasks and assisting with day to day operations. The Administrative Assistant will also have a teaching role within the school. Below are additional qualifications that will be evaluated in all applicants:

Executive Summary
St. Edith Stein School for Girls is located in Front Royal, VA, and began operations in the fall of 2018. St. Edith Stein School for Girls (SES) has students grades 7 through 12 and is a member of the Divinum Family of Schools (The DAFS) which also includes Divinum Auxilium Academy and St. Joseph the Just School for Boys. The Administrative Assistant supports the day-to-day operations of the school, including the attendance, routine communications with school families, and office management. The successful candidate will have experience with teaching. This position is a part-time, salaried position spanning a 34-week academic year from August through May. The school takes off all solemnities and observes Christmas, Easter, and summer breaks. There will be occasional weekend and evening events scheduled on the annual academic calendar. This position has the possibility of full-time with additional teaching responsibilities.
Job Responsibilities
The Administrative Assistant will report directly to the Headmistress and work together with her on day-to-day operations and administrative tasks. The Administrative Assistant will be in charge of:
* Opening and closing the school, maintaining office supplies, coordinating routine cleaning, repairs, and building maintenance.
* Answering the school phone and email address, managing external and internal communications.
* Assisting the Headmistress with the preparation of report cards at the end of each term. Assisting with the scheduling and communication of parent teacher conferences twice a year.
* Creating and maintaining academic curricula and supplies lists, ordering, distributing, and collecting student textbooks and supplies.
* Regularly communicating with current parents regarding daily attendance, health, uncommunicated absences, need for midday pick-ups, etc. Recording and maintaining attendance records.
* Ordering school merchandise and communicating with The DAFS financial administrators. Compile, reconcile and submit receipts and checks; manage petty cash and regularly pay utilities bills.
* Maintaining an up-to-date internal and external school calendar, organizing office spaces, and school storage.
* Supporting and participating in the school's annual and targeted fundraising and recruitment events.
* Working with other school professionals in The DAFS such as HR, Accounting, Legal and the Advisory and Executive boards to gather reporting information for the headmistress.
* Working with the other school administrators in The DAFS on priority projects determined by the Headmistress.
* Student supervision including study halls, substitute teaching, and school activities.
* Coordinating with parent volunteers for school events, assisting with organization of transportation and details for school events.
* Representing SES in the community and providing Catholic formation to students.
* Modeling professional, moral, and ethical standards and demonstrating good character and integrity in all interactions.
