Job Description

Position Summary

St. Paul Street Evangelization is seeking a joyful, mature Catholic disciple to serve as our Office Manager at our national office in Warren, Michigan. Our mission is to train, equip, and mobilize Catholics for the urgent work of evangelization through more than 200 local street teams and the St. Paul School of Evangelization.

The Office Manager serves as the central hub of our office, ensuring smooth day to day operations while providing excellent customer service to donors, evangelists, ministry partners, and customers. This role oversees office administration, customer care, ecommerce operations, shipping coordination, donation processing, and a variety of operational tasks that support the mission of the ministry.

Qualifications

- Be a practicing Catholic in good standing who is living as an intentional disciple of Jesus Christ.
- Minimum of two years of office administration or customer service experience.
- Strong organizational and time management skills with excellent attention to detail.
- Ability to manage multiple priorities and consistently follow through on responsibilities.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with a welcoming, service oriented attitude.
- Self motivated and able to work independently.
- Demonstrate professionalism, sound judgment, initiative, and discretion.
- Basic computer proficiency, including Microsoft Office and web based applications.
- Ability to lift up to 25 pounds.

Primary Responsibilities

Office Administration

- Serve as the primary point of contact for incoming phone calls, emails, and office visitors.
- Respond to general inquiries about the ministry, helping prospective partners, donors, evangelists, and team leaders understand opportunities to get involved.
- Maintain office supplies and reorder as needed.
- Process incoming and outgoing mail.
- Provide updates during monthly staff meetings.
- Assist other staff members with projects and operational needs as time allows.

Customer Service & Ecommerce

- Manage daily ecommerce operations.
- Answer customer questions regarding products, orders, shipping, and ministry resources.
- Process phone orders and assist with international shipping requests.
- Resolve customer concerns, including order corrections, refunds, exchanges, and shipping issues.
- Maintain accurate order records and import transaction history into the database.
- Provide basic technical support for customers experiencing website or login issues.

Shipping & Inventory

- Provide direction and support to shipping associates to ensure orders are fulfilled accurately and on time.
- Coordinate special shipping requests and priority orders.
- Maintain familiarity with shipping, packaging, and inventory procedures in order to assist during busy periods or train new staff.
- Monitor inventory levels.
- Receive, unpack, organize, and stock incoming shipments.
- Donations & Financial Support
- Process and record monetary donations and donated items.
- Communicate with recurring donors to update expired payment information.
- Print and mail donor acknowledgment and thank you letters.
- Assist with bank deposits, receipts, and maintaining the office checkbook.
- Maintain accurate financial and donation records.

Additional Responsibilities

- Perform other duties as assigned to support the mission and operational needs of St. Paul Street Evangelization.

A period of training will be offered with the current, outgoing office manager.
