REGISTRAR / ADMINISTRATIVE ASSISTANT

Job Summary:

The Registrar/Administrative Assistant role will work with the Counseling department to ensure that student schedules and records are accurately prepared and maintained. This detail-oriented team member provides valuable support to the academic operations of the school, Counseling, and Student Services, as well as the president and principal. The role is responsible for ensuring that all student files are accurately maintained and plays a vital part in ensuring the smooth day-to-day operations of Father Gabriel Richard High School.

Major Responsibilities:

Registrar

Responsible for Blackbaud (MyFGR) needs as they relate to issues concerning teachers, students and counseling.

Liaison between teachers and our on-line platform (Blackbaud) for all things grades related.

Create master schedule for all courses.

Open course registrations: Be available to assist with course registrations as needed.

Assign classrooms.

Compile information and reports for staff members and administration. i.e. class lists, core data.

Facilitate updates to the Course Catalog annually with input from department heads

Review and update NCAA course selections annually & NCAA audits.

File all student records, including CA-60's, test scores, transcripts.

Support registration of all students (freshman and transfers) including request and process records as needed.

Support international students, i.e I-20's and Sevis.

Process all transcripts requests including for alumni and students wishing to transfer.

Facilitates deadlines for all grade submissions.

Responsible for timely input of quarter and semester grades as well as mid-term and final exam grades.

Responsible for report cards, transcripts and works with teachers on grade discrepancies.

Performs grade checks for counseling + athletics at 6-week mark of all quarters.

Support Commencement.

Update health information for MyFGR (Blackbaud).

Update Immunization records.

Assist Student Services by:

Prepare Honors Convocation program information to hand off to Communications for final approval.

Supporting Counseling events as needed including Orientation, Curriculum Night, Parent-Teacher Conference, Testing and Honors Convocation.

Supporting Campus Ministry with clerical assistance relating to pilgrimages and retreats.

Supporting Households program with clerical assistance, as needed.

Assist the President and Principal by:

Providing general administrative support to the president and principal, including but not limited to:

Scheduling and setting up for meetings;

Completing expense reports;

Providing coverage at the reception desk, as needed;

Assisting with clerical duties in other departments, as needed;

Following up with constituents on behalf of the president and principal;

Covering of the front desk to provide breaks, as needed, for receptionist.

Necessary Skills and Experience:

Bachelor's degree preferred

Experience with data management systems, data input, and class schedules

Experience and/or knowledge of front office duties

Customer service experience preferred

Performance for this position will be evaluated by the Principal in consultation with the Director of Counseling.
