I. GENERAL DESCRIPTION:
Under the supervision of the Assistant Principal of Academics; the Registrar is responsible for managing and maintaining the academic records of the school with trustworthiness in handling sensitive and important information. The registrar works to ensure that accurate data is presented and preserved in a professional manner. The registrar has good communication skills, is able to collaborate effectively with administrators and teachers, is able to stand/sit for extended periods of time, and is able to lift at least 25 pounds. The duties of this position includes providing help desk assistance to students and staff.

Status: (Classification is 12A): Non-duty days during the student school calendar are the same as the teaching staff. All other days in the fiscal year are work days except earned vacation).

-12 months, 40 hours per week
-Position begins April 2026

-Reports to the Assistant Principal of Academics

II. ESSENTIAL JOB FUNCTIONS

Registrar
-Responsible for academic records including the end of quarter grading procedures, reports, honor roll and transcripts
-Compiles student information/enters into PowerSchool
-Collaborates with Admissions and Communications in updating records and moving data
-Maintains data integrity in the systems used in the Registrar's office by running reports, correcting errors and formatting data in the various databases as needed by the school
-Prepares withdrawal materials for students leaving the school and communicates with parents
-Responsible for maintaining permanent student files in the Records -Room to include processing large amounts of paperwork and electronic files, data entry, printing, copying, organizing, sorting, distributing, and scanning
-Prepares for long term storage of records in paper and electronic forms, may involve moving boxes
-Works with other institutions for the transfer of school records

Works with Assistant Principal of Academics prior to quarterly grading procedures:
-Tracking incomplete grades
-Processing report card and transcript hold orders
-Documents grade changes
-Honor Roll
-Software/Systems used: PowerSchool, SCOIR, Gmail, Google Chrome, print/copy/scan machines
-Works with Assistant Principal of Academics to present grading procedures for new faculty
-Is responsible for updating and securing student transcripts
-Accesses and delivers transcripts to former students upon request
-Performs any other job-related tasks deemed necessary and/or assigned by the Assistant Principal
-Coordinates the Enrollment/Re-enrollment Process with the Admissions Department
-Works with Principal and Business Office to provide enrollment data
-Tracks transfer credits in conjunction with counselors
-Seeks solutions for problems related to PowerSchool and other software used in the Registrar's office.
-Provides back-up office support in student services and main reception area

Service to Students/Tech Support Assistant
-Provides help desk services for password resets in PowerSchool and Google
-Assists with camera review
-Inventory and asset tag of technology equipment, especially in the summer months
-Assists with technology equipment maintenance and maintenance record keeping
-Assists Tech Support Analyst with summer projects

OTHER DUTIES
-Develops information for car pool directories and ride sharing
-Serves as TRP representative (2027)
-Performs any other job-related tasks deemed necessary and/or assigned by the Assistant Principal or Principal

III. REQUIRED EDUCATION, KNOWLEDGE, SKILLS, AND ABILITIES TO PERFORM ESSENTIAL JOB FUNCTIONS
-Bachelor's Degree or Associate Degree with comparable work experience
-Attentive to detail; strong organizational skills
-Ability to maintain confidentiality required
-Knowledgeable in Google Platform, Powerschool
-Able to work effectively under deadlines
-Strong work ethic
-Professional appearance and demeanor required
-Bilingual English and Spanish is a plus
-Good physical condition - able to lift 30 pounds, able to move boxes and materials
-Must possess a strong desire to serve
