Job Description

Youth Faith Formation Administrative Assistant
Position:
The Youth Faith Formation Administrative Assistant is a key member of a larger parish team for youth faith formation and is supervised by the Director of Religious Education and Youth Ministry, 7-12. This position assists the Director with the day-to-day administration of a dynamic youth ministry, family ministry and Sacramental preparation for students and their families in grades 7-12.

Schedule:
This is a full-time salaried position with varied schedule, with work during the day, evenings, weekends and occasional overnight events. This position requires a moderate amount of travel in a personal vehicle in addition to other modes of travel for large events. Some work from home is allowed when approved by the Director.

Ideal Candidate:
The ideal candidate is a faithful, practicing Catholic, who has a love for young people and families. This person desires to offer his or her talents toward Evangelization and Catechesis and has a passion for inspiring youth to holiness and service. This position requires that the candidate is especially skilled in computer related tasks, office administration, event planning, scheduling and vision casting. Spanish speaking would be a plus as would experience teaching and supervising volunteers. Responsibilities:
-Administration of all tasks related to registration for Religious Education Classes
-Administration of all tasks related to registration for Youth Ministry Events
-Administration of all tasks related to registration for Confirmation Retreats
-Administration of all tasks related to registration for Family Ministry Activities
-Maintenance of regular Flocknote communication with families and volunteers
-Maintenance of regular bulletin announcements
-Creation of fliers, posters, and documents as needed
-Maintenance of ministry social media
-Weekly deposits of checks received
-Administration of financial spreadsheet and income/ expense record keeping
-Submission of check requests, receipt reimbursements, and invoices
-Placement of orders for books, t-shirts, materials, and supplies
-Sorting, and upkeep of books, inventory, t-shirts, polos, materials, food, snacks, and supplies
-Distribution of books, materials and t-shirts
-Store runs to purchase supplies
-Confirmation robe order collection, processing, and distribution
-Confirmation related paperwork creation, distribution, collection, processing, and record keeping in accord with Diocesan and parish policies
-Implementation of the Confirmation rehearsal and related tasks to include seating chart and sponsor cards for the Confirmation Liturgy
-Collaboration with the clergy, Director, and other parish staff on preparation for the Confirmation Liturgy
-Attendance and leadership at the Confirmation retreats, rehearsal, Liturgy and reception
-Collaboration with the Director, staff, and volunteers on the preparation for the Confirmation, retreats, rehearsal, Liturgy and reception
-Availability for answering questions and responding to needs of parents, volunteers, students, parish staff, and visitors

-Maintenance of a clean and orderly office and storage areas
-Assistance with parent and Catechist meetings, offering trainings, interfacing with parents and volunteers
-Presence at Religious Education class sessions, assemblies, and meetings to assist with set up, clean up, document collection, implementation of all Diocesan and parish safety protocols, and supervision of children, youth, and adults.
-Serving as a Catechist, driver, chaperone, speaker, music minister, or other leader as needed at youth ministry, religious education, and family ministry events
-Presence at Family Ministry events, assistance with set up, clean up, serving
-Attendance at Diocesan and parish provided trainings, conferences, classes, meetings and other professional development
- Answering of emails and phone calls in timely manner
-Collaboration with the Director in vision casting, problem solving, calendaring and planning for future growth in the ministry
-Plan, lead, and chaperone youth ministry, family ministry, and religious education events as needed
-Presence and assistance with volunteer recruitment and training
-Provision of leadership training and development for high school and college students
-Collaboration with Director and Summer intern on youth ministry events
-Collaboration with other parishes as needed for events and activities
-Assistance with student recruitment and retention
-Collaboration with parish ministries in area of overlap for the betterment of the parish community to include presence and assistance with the Labor Day Picnic, Vacation Bible School, Living Stations of the Cross and other Parish Events
-Presence at Sunday Mass at the parish at least twice a month
-Providing records to the Parish of Baptism
-Collaboration with the Director in implementing annual safe environment training for students according with Diocesan policies
