Job Description
Reports to the Director of Production Management and Director of Production in conjunction with the Chief Operations Officer.Employee/Client Management:
- Facilitates New Employee Orientation
- Make Keycard for new employee(s)
- Show new employee(s) important facility locations, including key boxes, alarm pads, etc.
- Coordinates and welcomes all visitors to SJS (client, talent, vendors, etc.)
- Paperwork Management - All paperwork below is filled out or collected by the Admin assistant
- Ensure all employee agreement documents (e.g., vehicle, building) are updated annually and properly filed in the appropriate Google Drive folders.
- Maintains daily building closing list
- Ensures phone logs are up to date
- Recaps Monday Staff meetings
- Monitors and manages all assigned email accounts, ensuring timely responses and effective communication.
Facilities Management:
- Opens and closes the building (turn on/off lights, open/close blinds, empty trash, etc.)
- Maintains a clean, organized, and presentable office environment at all times, ensuring the space is visitor-ready and aligns with company standards.
- Takes stock and replenishes inventory on all office supplies (printer paper, printer ink, snacks, coffee, etc.)
- Receives, sorts, distributes, and picks up mail
- Ships office packages
- Monitors and manages employee parking spaces and permits
- Contact, communicate, and set up appointments with vendors (as needed)
- Decorate the office for holidays and events
- Point person for planning and preparing company-wide events and celebrations (Quarter meetings, anniversary and holiday celebrations, birthdays, etc.)
- Miscellaneous office errands, on as-needed basis
- Other tasks as assigned by direct supervisor(s).
Required Qualifications & Skills:
- 1-3 years previous experience in an office administrative environment
- Valid Driver's License
- Able to lift 30 lbs - 50 lbs.
- High attention to detail
- Highly organized
- Proactive
- A team player with a positive attitude
- Able to work in a busy, fast-paced work environment
- Great Time Management skills
- Able to Multitask
- Intermediate to Advanced knowledge of Microsoft Office Suite and Google Suite.
Schedule:
- Full-Time, In Office
- Monday to Friday
- Time: 9am - 5:30pm

Preferred Education:
- BA in Business Administration, Communications, or a related field.
Experience
