Job Description

Reports to Director of Center Operations

Hours Tuesday - Friday. 8:00 AM - 1:00 PM

This position combines two areas: assisting in the office and substituting in the environments when needed.

Responsibilities, Office Assistant role:
Maintain a clean, welcoming environment in the front office, kitchen, and Nazareth room, including care of dishes, laundry, and plants.
Ensure all common use materials are stocked and maintained.
Manage mail and package deliveries.
Run errands as needed (e.g. trips to grocery, printer, bank, UPS, USPS, etc.)
Assist staff/students with administrative requests.
Assist with communications among John XXIII's constituents across a variety of media, including weekly newsletters, emails, take-home flyers, and website.
Assist Director of Center Operations with application and enrollment processes.
Coordinate pizza lunch orders and distribution - 1-2 times a week.
Assist with the assembly and distribution of various mailings ( Advent and Lent newsletters, Grandparent Bridge Builders mailing, Re-Enrollment mailing, etc.).
Answer the phone and the front door as needed. Joyfully Greet and welcome guests, parents, visitors, and vendors; provide appropriate assistance.
Assist with administrative tasks (recordkeeping, bookkeeping, ordering supplies, etc.)
Perform odd jobs and other duties as assigned.
Abide by all policies laid out in the staff handbook.
Maintain and advance the mission of the Center as laid out in the Mission Statement and Manifesto of John XXIII Montessori Center.
Maintain a respectful, listening, and collegial attitude toward all staff, parents, and children.

Responsibilities, Floater and Substitute:
Observe and become familiar with routines in each of the Toddler, Primary, Elementary, and Atrium environments to be an effective substitute or additional assistant.
Substitute and assist in environments on an as-needed basis.
Assist with the drop-off and pick-up procedures at the Dogwood Children's House.
Assist with lunch and recess duty for Elementary children.

Requirements
Proficient with Google Workplace (especially Gmail, Drive, Docs, and Sheets).
Ability to learn to use various software applications quickly and proficiently, including Quickbooks, TADS (student management system), Divi (website design platform that does not require coding), Canva, and Constant Contact.
Excellent verbal and written communication skills.
Detail-oriented, good time management skills, and a strong ability to prioritize work.
Ability to take initiative, anticipate needs, and exercise independent, sound judgment.
Ability to manage sensitive matters with a high level of confidentiality and discretion.
Flexible and adaptable to changing priorities and tasks.
Bachelor's Degree preferred.
Experience working in an educational setting is a plus.
