General Summary: The Director of Parish Operations provides leadership and day-to-day supervision of the temporal affairs of the parish in such a way as to enable the Pastor to concentrate on the spiritual affairs of the parish.The Director of Parish Operations oversees the administrative and business functions of the parish as both a business manager and facilities manager in an accurate, efficient, thorough, professional, and timely manner, which will strengthen the Church and give the appropriate administrative foundation to support the pursuit of the parish's mission, ministry, and growth.
The Director of Parish Operations is required to convey the Church's message and to assist in carrying out the Church's mission. The Director of Parish Operations is required to uphold the standards of the Catholic Church in his/her day-today work and personal life. All parish personnel are expected to be persons of integrity and must conduct themselves in an honest and open way, free from deception or corruption and in a manner consistent with the discipline and teachings of the Catholic Church. Parish personnel are expected to follow rules of conduct that will safeguard the interests and safety of all, including the standards set forth in Diocesan and Parish Policies and Guidelines.
Essential Duties and Responsibilities:
Coordination of Parish Ministries and Services
•Oversees the coordination and recruitment of all ministries and services, especially those headed by parishioners and other volunteers.
•Implements and maintains an effective and thorough evangelization ministry.
•Implements and maintains an effective marketing/communication strategy.
•Plans, facilitates, and executes parish events, including the annual Ministry Fair, Trunk or Treat, MOCtoberfest, and the Parish Feast Day Picnic, or finds, supports, and equips other staff and volunteers to do so.
Personnel Responsibilities
•Assists the pastor in recruiting, hiring and dismissing employees with the guidance of the diocesan Human Resource Department; maintains an adequate level of knowledge on current employment laws. •Supervises parish employees not directly accountable to the pastor. •Maintains a parish employee handbook in consultation with the pastor and assistance from the diocesan Human Resource Department; ensures that the handbook and any revisions are reviewed by Diocesan Legal Counsel for sound legal policies before presentation to employees.
•Establishes and maintains position descriptions and a current organizational flow chart.
•Facilitates communications within parish departments and outside agencies or groups, both civic and religious.
Administrative & Liturgical Responsibilities
•Coordinates with staff and volunteers to participate in staff planning and operational meetings; conducts significant dialogue with the pastor so that he is fully apprised of matters being considered and acted on by the parish.
•Ensures accurate parish and facilities records including repair, construction, database, sacramental, and financial records, when applicable.
•Coordinates insurance and other benefit programs of the parish and property, and works with outside agencies responsible for auditing the campus for self-insurance purposes.
•Comes prepared to staff meetings and other committee meetings appropriate to the position.
•Collaborates directly with the pastor and the Director of Faith Formation to make sure all liturgical items on campus are proper to the season; prepares the Church space for weekend Masses and plans for each major holy day and holiday. This includes (but is not limited to) Penance Services, Advent, Christmas, Ash Wednesday, Lent, Holy Week, and Easter.
•Keeps an accurate inventory of church supplies and places monthly supply order through vendor.
Financial Responsibilities
•Maintains an updated list of current major projects as directed by the pastor and collects any quotes associated with those projects
•Reviews budget and financial reports in conjunction with the pastor, department heads, and finance council.
Facilities Maintenance Responsibilities
•Conducts ongoing inspections of parish grounds and buildings to ensure that the property is maintained properly; establishes and oversees preventive maintenance programs for parish property and equipment.
•Supervises the activities of all parish maintenance and inspects completed maintenance and repair projects.
•Manages and approves major repairs or new construction with counsel from the pastor, finance council, and stewardship council, when applicable; supervises new construction on the parish grounds and acts as a liaison between the architect, contractor, and building committee.
•Follows established guidelines to obtain competitive prices for the purchase of supplies and materials; seeks approval of the pastor, finance council, and stewardship council, when applicable.
•Maintains parish's compliance with diocesan policies regarding licenses, insurance, other liability considerations, real estate, and capital projects.
•Supervises the parish door and alarm system; creates and maintains the facility door schedule and assigns fobs and keycards to staff and volunteers while keeping the system up to date.
•Performs other related duties as assigned by the pastor.
Knowledge, Skills, and Abilities Required
•BA/BS degree in Business, Organizational Leadership, or related discipline from an accredited college and/or minimum of three years of previous supervisory experience.
•Must have the ability to develop and maintain positive relationships with employees at all levels.
•Ability to face situations firmly, courteously, tactfully, and with respect for the rights of others.
•Requires a high level of computer expertise in Microsoft Office products, including Word, Excel, PowerPoint, and Outlook.
•Must be a practicing Catholic in good standing with the Church with knowledge of and commitment to Gospel values, Catholic moral and social teachings, and possesses a sound working knowledge of Church hierarchy and Church structure.
•Must be flexible and innovative in a fast paced, time-critical environment and the ability to work independently.
•Must be able to organize and prioritize work, be proactive, take initiative, resolve complex problems, follow through, and simultaneously manage multiple priorities.
•Performs work at a high level of accuracy and attention to detail. •Strong interpersonal, written, and verbal communication skills, including ability to produce clear, concise reports and recommendations and make presentations to varied groups.
•Exercises considerable independence and judgment with a high level of confidentiality.
•Must successfully pass the required BCI/FBI background check prior to employment and every five years.
•Must maintain a valid driver's license.
LANGUAGE SKILLS
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, vendors, employees, and the general public.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
