Job Description
Saints Martha & Mary Parish seeks a faith-filled, organized, and collaborative individual committed to supporting children and families in their journey of faith through vibrant parish catechesis and sacramental preparation.Summary: The Coordinator supports children's faith formation and sacramental preparation programs by assisting with organization, communication, records, volunteers, and parish events. Working closely with the Director of Faith Formation and Family Ministry, the Coordinator helps create welcoming, engaging, and well-organized programs for families, catechists, and parishioners while ensuring alignment with diocesan guidelines and Catholic teaching.
Minimum Qualifications:
Education:
• Bachelor's or Masters's degree in theology, Catechetics, Religious Education, or related field preferred. A background in theology and educational methodologies with a willingness to move toward credential or degree.
Experience:
• Practicing Catholic in good standing, able to fully participate in the sacraments, with a strong personal commitment to the faith and a relationship with God.
• Minimum age of 21, in good emotional health.
• Compliance with all diocesan policies and Safe Environment/child protection requirements.
• Minimum of three years of Catholic parish catechetical experience, or equivalent formation with a commitment to ongoing training.
• Strong understanding of youth development, culture, and needs, with the ability to respond effectively through ministry programming.
• Comfortable working with youth while maintaining appropriate professional boundaries.
Knowledge and Skills:
• Proficient in Microsoft Office or Google Workspace with an ability to create, format, and manage documents, spreadsheets, and presentations efficiently.
• An effective leader and administrator; skilled in communication, pastoral planning, budgeting, and managing volunteers.
Routine Duties and Responsibilities:
Registration & Administrative Support
• Coordinate annual Faith Formation registration, class placement, attendance tracking, and database management.
• Prepare and distribute registration forms, orientation materials, labels, packets, and family communications.
• Maintain attendance records, catechist folders, and classroom materials.
• Support catechists with copies, supplies, and administrative needs.
• Assist with session arrival, dismissal, substitute coverage, and on-site program coordination.
• Perform additional administrative tasks and attend meetings as assigned by the Director.
Sacramental Preparation
• Maintain sacramental records and documentation for Reconciliation, First Holy Communion, and Confirmation.
• Collect, process, and file Baptismal Certificates and sacramental paperwork.
• Communicate with families and parishes regarding sacramental requirements and missing documentation.
• Coordinate sacramental scheduling, retreats, rehearsals, liturgies, and receptions.
• Prepare sacramental registers, notification letters, sign-in sheets, name badges, and event materials.
• Collaborate with parish staff and schools to ensure diocesan sacramental guidelines are followed.
Program Coordination & Events
• Assist in planning, coordinating, and evaluating children's faith formation programs, sacramental preparation, retreats, and seasonal events.
• Support recruitment, training, scheduling, and coordination of catechists, aides, and volunteers.
• Help organize parent meetings, service opportunities, and parish children's liturgies and activities.
• Coordinate supplies, materials, and event logistics as needed.
Communication & Parish Collaboration
• Respond to phone calls, emails, and inquiries from families, schools, parish staff, and other parishes.
• Maintain regular communication through newsletters, bulletins, website updates, slides, and parish media.
• Collaborate with parish staff, diocesan offices, schools, and community partners in planning and ministry efforts.
• Participate actively in parish staff meetings, ministry collaboration, and diocesan professional associations.
• Be available and welcoming to parishioners and families.
Records, Compliance & Administration
• Maintain accurate records of registrations, attendance, sacraments, volunteer clearances, and catechetical certification.
• Assist with budget tracking and ministry administration.
• Ensure compliance with diocesan Safe Environment policies and procedures.
Professional & Spiritual Development
• Pursue ongoing professional formation in catechetical ministry and parish leadership.
• Participate in spiritual growth opportunities, including retreats, mentorship, and diocesan training.
• Stay informed of current diocesan guidelines and best practices in catechetical ministry.
Additional Responsibilities
• Perform other duties as assigned by the Pastor or Director of Faith Formation to support the mission and effective operation of the parish Faith Formation program.
