Job Description:
We're looking for a proactive, friendly, detail-loving organizer who can help keep our projects and communications running smoothly. If you enjoy creating order, communicating clearly, and keeping balls in the air without dropping them, you'll fit right in.
This role is focused on client communication, project coordination, and administrative support, with optional opportunities to help in sales or marketing if that fits your background.

Responsibilities:
Client Communications (40%):
Send welcome packets and video process documents to clients.
Send and manage contracts with new clients
Schedule and send invoices to clients
Attend, organize and coordinate client meetings and kickoff meetings
Manage invoices and receipts from contractors
Represent Lux Lab on client calls when needed; summarize decisions, next steps, and owners.
Building proposals from templates for clients
Project Management: (30%)
Organize and track project timelines
Build tasks and schedules in Asana
Keep the team informed on status, needs, and next steps
Meeting Coordination:(20%)
• Organize and build internal weekly meetings.
• Prepare agendas and ensure relevant team members are informed
Travel and Event Logistics: (10%)
• Book flights, hotels, and rental cars for team members.
• Manage travel-related expenses and ensure proper documentation.
Sales (if time allows)
• Send out templated warm and cold emails to potential clients.
Schedule & Compensation
W2 Employee ($49K-$54K range).
Monday mornings are internal team meetings.

Every active project has a clean timeline in Asana and Google Sheets with clear next steps
Weekly meeting agendas and recaps are sent on time
Clients feel informed, cared for, and never left wondering what's next
Invoices, contracts, and receipts are consistently up-to-date

Qualifications:
Strong organizational and multitasking skills
Excellent written and verbal communication
Experience with admin and/or project coordination
Comfortable speaking and emailing on behalf of a team
Able to work independently and take initiative
Friendly, reliable, and calm under pressure
Previous PM or admin experience is a plus
