Job Description

The Role:
The Events & Pilgrimages Coordinator provides support to the Director of Events & Pilgrimages in planning and executing all aspects and phases of national events and pilgrimages. Working under the direction of the Director, this role supports the coordination and implementation of national events and pilgrimages throughout the year as deemed appropriate by Legatus, in service of the organization's mission to study, live, and spread the Catholic faith in business and professional life. With a strong commitment to hospitality and customer service, the Coordinator serves members and guests with professionalism, responsiveness, and care.

This includes, but is not limited to, national Summits, international pilgrimages, and other events throughout the year as deemed appropriate by Legatus (e.g., retreats, executive physicals, domestic pilgrimages, and special events). Through consistent administrative support, attention to detail, and a member-focused approach, the Events & Pilgrimages Coordinator helps ensure each experience is thoughtfully organized, seamlessly executed, and aligned with the mission and spiritual objectives of Legatus.

Your Key Responsibilities:
• Support the Director of Events & Pilgrimages in the planning and implementation of national events and programs for the full membership.
• Serve as the primary point of contact for member inquiries related to event registration, payments, sponsorships, and general event information, ensuring timely and professional customer service.
• Oversee the registration process (Cvent software) for national events, including website setup, promotion, payment processing and reconciliation, modifications, and on-site check-in.
• Coordinate event logistics, including venue relations, rooming list management, speaker coordination, liturgy planning, transportation arrangements, and overall on-site operations.
• Lead sponsorship and exhibit sales for the annual Summit, including sponsor outreach, contract execution, invoicing coordination, benefit fulfillment, and exhibitor management. Serve as the primary liaison for Summit sponsors and exhibitors.
• In collaboration with the Director of Events & Pilgrimages, develop, review, and maintain line-item budgets for national events; accountable for meeting established financial goals set by the Director and leadership team.
• In collaboration with the Marketing Department, develop promotional and on-site materials for the Summit, conferences, pilgrimages, and other events.
• Prepare mailings, generate reports, and assist the Events & Pilgrimages team with administrative initiatives.
• Perform related duties as assigned by the supervisor.
• Maintain compliance with all company policies and procedures.

What We're Looking For:
• Bachelor's degree preferred
• Experience in nonprofit or corporate meeting and event planning.
• Demonstrated excellence in customer service, with the ability to respond promptly, professionally, and effectively to member inquiries and high-level stakeholders.
• Strong organizational skills with the ability to manage multiple projects simultaneously, prioritize effectively, and meet deadlines in a fast-paced environment.
• Ability to work under pressure while maintaining a positive attitude and delivering exceptional service.
• Outstanding written and verbal communication skills, with demonstrated creativity and attention to detail.
• Professional demeanor and proven ability to interface effectively with senior executives, clergy, sponsors, and other high-level professionals.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and general office technology.
• Experience with online event registration systems (e.g., Cvent) preferred.
• Marketing or graphic design experience preferred, including proficiency in Canva or similar design platforms.

Additional Details:
• Reports to the Director of Events & Pilgrimages
• Location: Legatus Headquarters, Ann Arbor, MI
• Moderate domestic and international travel required.
• Required ability to work beyond the standard work week on an occasional basis, particularly during conference and event periods.
• Must be able to lift and carry up to 50 lbs.
