Job Description
Position SummaryReporting directly to the President/CEO, the Chief Financial Officer provides strategic leadership for all financial, accounting, investment, and human resources functions. This role not only serves as a key advisor to executive leadership, the Audit & Administration Committee, and the Board of Trustees, but also manages and develops a high-performing team ensuring strong leadership, fiscal integrity, regulatory compliance, and alignment with donor intent.
Key Responsibilities
Financial Leadership & Accounting Oversight
• Supervise and support the Controller, Assistant Controller, and
accounting department, including preparation of monthly financial statements and investor reports through the donor portal.
• Provide leadership in developing, maintaining, and monitoring a system of internal controls to assure the safeguarding of the assets of the Foundation.
• Prepare annual external financial statements and coordinate all aspects of the annual financial audit, including audit schedules, meetings, and follow-up.
• Monitor operating expenses to ensure compliance with the approved annual budget.
• Prepare and maintain the annual operating budget and present it to the Audit & Administration Committee annually.
Board & Committee Reporting
• Report financial results, trends, and issues to the Audit & Administration Committee and Board of Trustees, as appropriate.
• Attend and participate in Audit & Administration Committee meetings, pre-audit planning meetings, post-audit wrap-ups, distribution committee meetings, investment committee meetings and
Board of Trustees meetings.
Investment & Endowment Management
• Coordinate and supervise investment allocation changes for the Unrestricted Endowment Fund, investment pools, and trust accounts.
• Oversee all money movement between the organization and its custodian or other investment consultants.
• Calculate annual spending allocations for unrestricted philanthropy and permanent endowment funds and track grants payable.
Grants & Donor Stewardship
• Monitor and supervise grants from restricted accounts and endowment funds to ensure compliance with donor agreements with focus on the preservation of donor intent.
• Oversee grant classifications, categories, and reporting, including preparation of grant summaries for executive leadership and the Board.
• Oversee receipt and proper classification of all donor gifts, including estate gifts.
• Support development efforts, including review and approval of new fund agreements and their set-up and assistance with major/complex gifts.
Trusts, Annuities & Tax Compliance
• Supervise administration of all trusts for which the organization serves as trustee, including beneficiary payments, tax payments, and annual tax filings. Monitor beneficiaries life events and ensure proper final distributions.
• Oversee quarterly annuity payments and ensure accurate and timely processing.
• Coordinate preparation and filing of all required 1099-R and 1099-MISC forms.
• Monitor preparation of the organization's Form 990-T, ensuring receipt and submission of all required K-1s.
• Prepare and file the annual franchise tax return by May 15th.
• Prepare biennial public charity testing documentation.
Technology & Vendor Management
• Coordinate and supervise relationships with outside consultants providing desktop support and software services.
• Oversee all financial, donor, and grant management systems, including Blackbaud Raiser's Edge, Financial Edge, Foundation Cloud Grants, and the donor portal, providing the necessary technology and security of information required by sound business practice.
Human Resources & Benefits Administration
• Supervise payroll, retirement plan administration, health insurance enrollments, salary adjustments, and flexible spending plan administration including compliance testing, census reporting and required filings.
• Coordinate annual insurance renewals, including commercial policies and employee health benefits.
• Manage all employee policies and programs for the Foundation including recruiting, staffing, organization and space planning, performance measurement, organizational development, employee orientation, on-boarding and training and any regulatory concerns,
Operational & Executive Support
• Monitor and approve major office purchases, including technology and equipment.
• Support to the President/CEO on financial and operational matters including special projects, as needed.
Qualifications
• Bachelor's degree in Accounting, Finance, or related field (CPA or MBA required).
• Ten plus years of significant senior-level financial leadership experience, preferably in a nonprofit, community foundation, or trust-based environment.
• Deep knowledge of GAAP, nonprofit accounting, investments, audits, split interest gifts and trusts, endowments, and donor-advised funds.
• Experience working with Boards of Trustees, Audit Committees, and external auditors.
• Strong leadership, communication, and organizational skills. (Spanish is a plus)
• High integrity and demonstrated commitment to fiduciary responsibility and donor intent.
