Job Description

Overview
We are seeking a highly organized and proactive School Operations Coordinator to support the smooth functioning of our Classical, Catholic High School. This role involves coordinating various administrative and operational activities to ensure the effective delivery of a quality, faith-filled educational program. The ideal candidate will have experience in administrative duties, preferably experience in an educational setting, and have the ability and drive to work with teachers, parents, faculty, staff, and students...with a strong focus on maintaining efficient processes and fostering a positive, warm and friendly office environment.

Duties/Responsibilities

Coordinate all admissions tasks and follow up

With Headmaster and Development Director- prepare and create all marketing and communications materials

Coordinates all daily school operations and office management tasks

Oversee/coordinate school event preparations and logistics- parent gatherings, tours, retreats, celebrations, open houses, fundraising Vision Dinner etc...

Handle incoming inquiries and parent requests- email, phone calls, texts, etc.

Oversee student records, transcripts, college paperwork, recommendations, etc.

Purchasing duties- inventory, supplies, curriculum/textbooks

Maintain and update donor database and CRM

Manage and maintain website updates weekly

Work with Development Director to create and post social media updates, posts, and reels.

Oversee class scheduling/grading/student information system database and Financial Aid and tuition agreement contracts.

Maintain control over environmental safety compliance and reporting requirements for volunteers as well as faculty and staff

Requirements/Qualifications:

Highly developed organizational skills and project management competency

Ability to handle parent concerns, questions, and prospective family communications with warmth and professionalism

Excellent communication skills

Proficient with technology-Prefer experience with Outlook, Google, Trello, Excel, and FACTS

Ability to work independently and manage multiple tasks

Strong ability to take initiative

Some schedule flexibility- some evenings and weekends required based on scheduled events

On site presence required during school hours
