Job Description

Job Summary
We are seeking a highly organized and proactive Administrative Coordinator to manage administrative functions for the Social Justice Action Network (SJAN) and Vocation Promotion. The ideal candidate will possess strong office management skills, excellent communication abilities, and a keen eye for detail. As an integral part of our team, the Administrative Coordinator will handle a variety of communications, event planning and coordination, and provide exceptional management support.
Responsibilities
For SJAN:
• Coordinate the management of materials, phone calls, event organization, SharePoint updates, etc. for the Congregation's Social Justice Action Network Plan (SJAN) and General Chapter Orientation.
• Facilitate educational initiatives and programs for Sisters, associates, and colleagues.
• Provide resources and training for advocacy skills necessary to promote change.
• Serve as the primary contact for the Blessed Sacrament Social Justice committee.
• Research and communicate information related to the SJAN plan as well as local legislation.
• Enhance Blessed Sacrament Province's partnerships with religious congregations and non-government organizations by leveraging resources from networking events such as the Leadership Conference of Women Religious (LCWR).
• Attend weekly and monthly committee meetings.
For Vocations:
• Manage vocation-related communications including updates to website and social media.
• Respond to vocation inquiries by phone and email as the initial point of contact.
• Maintain databases of prospective candidates, contacts, and outreach results; manage files, records and mailing lists.
• Manage candidate paperwork and oversee maintenance of physical and digital files.
• Attend monthly vocation meetings, prepare minutes and conduct follow-up.
Qualifications
• Strong organizational skills and time management skills with high attention to detail.
• Strong verbal and written communication skills in English; bilingual in Spanish is an advantage.
• Ability to work independently and in a team environment.
• Ability to handle confidential and sensitive information with discretion.
• Willingness to become knowledgeable about the spirit and charism of the Congregation de Notre Dame, a Catholic organization.
• Proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook and SharePoint) and data management. (DonorPerfect or similar)
• Associates degree, BA preferred or equivalent experience.
