CANDIDATE PROFILE:
The Front Desk Receptionist & Administrative Support must be a practicing Catholic in good standing with the Catholic Church, who assents to the Church's teachings on all matters - with particular care for those concerning the nature of the human person, sexual ethics, and sexual identity. The candidate shall be a missionary disciple who possesses a zeal for the Lord, living the faith in all aspects of life.
The ideal candidate is a warm, organized, and service-oriented professional who takes pride in creating a welcoming environment for students, families, faculty, and guests. They are calm under pressure, adept at managing competing priorities, and genuinely love serving the JPG community. They are discreet with confidential information, proactive in anticipating needs, and embody the hospitality and care that is central to the JPG culture.
PRIMARY RESPONSIBILITIES:
Front Office Management - 30%
The Front Desk Receptionist is the first face of JPG - managing the physical and relational environment of the front office with professionalism, warmth, and attentiveness.
-Visitor Welcome. Greet students, parents, visitors, donors, and vendors in a professional and welcoming manner, setting the tone for every guest's experience at JPG.
-Campus Safety. Manage visitor check-in/check-out procedures using the RAPTOR system to maintain campus safety and accurate visitor logs.
-Communications. Answer, screen, and direct incoming phone calls and emails, ensuring timely and courteous responses to all inquiries.
-Office Environment. Maintain an organized, professional, and welcoming front office environment that reflects JPG's culture of excellence.
-Supplies Management. Order, organize, and maintain office supplies for faculty, staff, meetings, and school operations.
Student Management & Record Keeping - 25%
The Front Desk Receptionist maintains accurate student records and supports the day-to-day administrative processes that keep the school running smoothly.
-Attendance Records. Record and maintain student attendance, tardies, dismissals, and related records using FACTS, and communicate attendance concerns to appropriate faculty and staff.
-Enrollment Support. Assist with student enrollment and withdrawal paperwork, ensuring accurate and timely processing.
-Confidential Records. Maintain confidential student records and documentation in accordance with school policies and applicable privacy requirements.
-Cell Phone Procedures. Manage student cell phone collection and distribution procedures in alignment with school policy.
-Off-Campus Lunch. Oversee off-campus lunch sign-in/sign-out processes, including permission slips, academic eligibility verification, and student tracking.
Administrative Support - 20%
The Front Desk Receptionist provides broad administrative support that keeps school operations organized and well-documented.
-Documentation. Maintain and organize forms, permission slips, and office documentation, ensuring materials are current, accessible, and filed appropriately.
-Purchase Records. Manage and organize purchase receipts and documentation for office, administrative, curriculum, and formation-related purchases.
-Event Preparation. Prepare materials and assist with school events, conferences, and meetings, including setup, materials coordination, and logistics support.
-Curriculum Coordination. Assist with coordination of curriculum and textbook requests, including researching pricing, placing orders, and organizing deliveries upon arrival.
Health & Safety Support - 15%
The Front Desk Receptionist serves as the first point of contact for student health needs, administering basic care and maintaining accurate medical records.
-Medication Communication. Contact parents and guardians regarding student medication requests, administering and documenting as directed.
-Prescription Administration. Administer and record daily prescription medications according to school procedures and applicable health guidelines.
-First Aid. Provide basic first aid for minor student injuries and document incidents as needed.
-Medical Supplies. Prepare first aid kits, medications, and medical supplies for Formation Fridays and retreats.
Scheduling & Events - 10%
The Front Desk Receptionist supports scheduling, facility coordination, and hospitality functions that serve both the internal school community and prospective families.
-Meeting Scheduling. Assist in scheduling meetings and appointments for teachers, parents, and administrators.
-Room Reservations. Coordinate room reservations and facility scheduling for meetings and school events.
-School Calendars. Assist with maintenance and communication of school calendars and event schedules as needed.
-Welcome Materials. Prepare welcome materials and gift bags for new employees and visiting families.
-Event Logistics. Assist with school and event logistics, including food ordering, supplies, and signage.
-Shadow & Prospective Families. Prepare folders, goody bags, and informational materials for shadow students and prospective families, and support incoming and transfer students during their transition into the school community.
QUALIFICATIONS:
-Deep Catholic faith and full alignment with the mission, vision, and values of JPG
-High school diploma required; associate's or bachelor's degree preferred
-2+ years of experience in a receptionist, administrative assistant, or office management role; experience in a school or nonprofit setting a plus
-Warm, professional interpersonal presence with a genuine love for serving students, families, and guests
-Proficiency with Microsoft 365 (Outlook, Word, Excel) and comfort learning school-specific platforms (FACTS, RAPTOR, or similar)
-Highly organized and detail-oriented, with the ability to manage multiple tasks simultaneously without sacrificing quality or composure
-Discreet and trustworthy in handling confidential student and family information
-A strong commitment to Catholic classical education and a joyful, servant-hearted approach to daily work
