Job Description
BookkeeperThis role assists in the advancement of the mission and vision of Pax Christi Church, through these responsibilities:
Key Ministry Responsibilities with Time Budget:
30% Donations
30% Budget & Ledger
20% Payroll
20% Administrative
Donations
Maintain all contribution records; including envelopes, loose checks, stock donations and online giving
Manage direct donation plan, envelopes, and online giving platform
Prepare and send end of the year contribution letters
Budget & Ledger
Assist with the development of the annual budget
Handle ledger transactions for receipts and disbursements, process invoices and pay all bills in a timely and accurate manner
Balance deposits and reconcile accounts on a monthly basis
Prepare payments for group plans from the Diocese of Winona Rochester, including but not limited to employee pensions, employee insurance, assessments, priest insurance and pension
Payroll
Manage payroll transactions, including tracking of vacation and sick days earned and taken each time period
Responsible for state and federal payroll tax returns on a monthly, quarterly and/or annual basis, and preparation of annual W-2 and 1099 reports
Maintain appropriate human resource files for staff
Communicate with new employees regarding benefits, including but not limited to health insurance, pension, as it relates to payroll practices
Stay updated with state and local laws and diocesan benefit offerings that affect payroll
Update staff and records when Diocese of Winona Rochester benefit options change
Administrative
Prepare monthly and year end financial reports for the Diocese, Pastor, Operations Manager and Finance Council, report includes a balance sheet and income statement.
Provide support and assistance to the Pastor, Operations Manager, staff, and Finance Council
Attend the Finance Council meeting to address questions and provide minutes to the council.
Oversee the money counting teams, create a schedule for counters, contribute as needed
Interface with staff at Rochester Catholic Schools, Diocese of Winona-Rochester, Finance Council and Pax Christi staff as needed
Facilitate and participate in audit as needed
Role Expectations as a Staff Member at Pax Christi:
Regularly attend and contribute to:
Meeting with Operations Manager
Pax Christi staff and logistics meetings
Auxiliary parish staff/committee meetings (i.e. Finance Council)
Grow in knowledge, skills or understanding through:
Diocesan meetings and workshops as directed
Continuing education related to role or generally as a staff member
Spiritual formation opportunities
Guidance and feedback from other parish leadership and parishioners
Acceptance and completion of other duties as assigned
Knowledge, Skills, and Abilities Preferred:
An active member of Roman Catholic parish faith community
Bachelor's degree in accounting, business related field, or be able to demonstrate how previous experience can be substituted for a degree
Above Average verbal communication skills
Above average proficiency in written forms of communication
Familiarity with/desire to learn the Google Apps
Familiarity with/desire to learn Flocknote, Parish Soft
Working Conditions
Part time, non-exempt position, typical business hours, averaging 32 hours per week.
Accountability
The Bookkeeper is accountable to the Operations Manager. Annual review with the Operations Manager.

Wage with benefits based on level of experience and as agreed up with the pastor and Operations Manager
