Job Title: Be Formed Program AdministratorAgency: Catechesis and Evangelization
Reports To: Lifelong Lay Formation Lead
Position: Full-time, Benefits, Non-Exempt
JOB SUMMARY
The Be Formed Program Administrator is responsible for overseeing, coordinating, and managing all aspects of the Be Formed Spiritual Formation Program within the Diocese of Joliet in partnership with the Lifelong Lay Formation Lead and Be Formed Advisory Board. This role requires a dynamic and organized individual who is passionate about faith formation and capable of providing strong administrative and leadership support to ensure the program's successful operation.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Plan, organize and coordinate participation in all the Be Formed programs and initiatives.
• Create, manage, and communicate announcements to participants and facilitators for registration and ongoing program initiatives.
• Create and coordinate the content for each 90 days Be Formed Season with the Be Formed Advisory Board. Create the timeline of each season, editing the workbook content, recording training and Lectio Divina videos.
• Utilize Regpack or similar program to register participants and perform customer service tasks for individuals to complete their registration.
• Maintain accurate records of participant information and ensure data privacy.
• Manage the weekly Zoom sessions to facilitate the small group meetings.
• Organize a team of volunteers to support registration, large group meetings, training of facilitators, communication to participants, website updates and maintenance, and all administration duties to support each season's schedule. Conduct regular check-ins with volunteers to provide support and guidance.
• Coordinate with volunteers and communicate regularly with scheduled speakers and the Advisory Board regarding status of events, technology, and other needs.
• Gather feedback from participants and volunteers for each season to assess program effectiveness.
• Analyze participant and volunteer feedback for areas of improvement and collaborate with supervisor to recommend program enhancements.
• Respond to all the inquiries from participants through email, text, or phone calls to encourage participants to engage in each season's schedule.
Other Duties and Responsibilities:
• Collaborate to ensure each season is promoted to appropriate market channels and communicate event details with all volunteers and the Advisory Board.
• Coordinate the activities of volunteers that provide administration, facility, technology, and hospitality support.
• Participate in communications strategy including maintaining the website, social media posts, and reminder emails and texts.
• Coordinate payment processing, registration, and marketing for various platforms (e.g., Pay Pal, Eventbrite, Zoom, Website).
• Be Formed program ambassador upholding the Catholic values and teachings that are foundational to the Be Formed program.
• Plan and coordinate training for small group facilitators.
• Other duties as assigned.
QUALIFICATIONS
• Practicing Catholic in good standing with a deep understanding of Catholic teachings.
• High school degree required, associate or bachelor's degree preferred.
• Minimum of two (2) years of experience in program administration, preferably within a church or religious setting.
• Strong organizational and detail-oriented skills required.
• Excellent written and verbal communication skills.
• Strong interpersonal skills and the ability to work with diverse groups including parish leadership required.
• Proven history of identifying and solving problems.
• Solid experience with office management systems and procedures.
• Proficient computer knowledge with emphasis on Microsoft Office Suite and data input into a variety of databases.
• Minimum of five (5) years solid experience working in Microsoft Office (Word, Excel, Power Point, Publisher, Outlook.
• Exceptional knowledge of office equipment.
SALARY RANGE
Salary range is $22.00 - $25.00 per hour, depending on experience.

WORK SCHEDULE STATUS
• Full-Time, Benefited, Non-Exempt
• Monday through Thursday, 8:00 a.m. - 4:30 p.m.
Friday, 8:00 a.m. - 1:00 p.m.
o Evening and weekend work as needed or required.
