Bookkeeper(Part-Time)
Saint Joseph Academy, San Marcos, California
Saint Joseph Academy, an independent classical Catholic school (TK-12) in North County San Diego, seeks a detail-oriented Part-Time (exempt) Bookkeeper to assist in the management of our financial records. The primary purpose of this position is to perform bookkeeping functions for Saint Joseph Academy in a manner that ensures financial accuracy, regulatory compliance, and strong financial stewardship. The Bookkeeper works closely with the Business Manager to manage financial transactions, maintain accurate financial records, and support financial reporting in accordance with Saint Joseph Academy's policies and guidelines.
Responsibilities:
Accounts Payable
• Maintain and update vendor files, reimbursements and other payables in QuickBooks and submit approval reports in a timely manner.
• Pay all bills in a timely manner and properly maintain related records.
• Prepare and submit 1099 forms by January 31st and 1096 forms by the IRS deadline.
Accounts Receivable & Cash Operations
• Assist the Business Manager in Tuition Management through FACTS including billing and payment tracking.
• Invoice and collect payments for school programs, clubs, and related fees.
• Record all deposits and payments in QuickBooks.
• Monitor bank balances and prepare bank deposits.
• Monitor AR aging and proactively follow up on outstanding balances.
Additional Responsibilities
• Perform monthly reconciliation of bank accounts, credit cards, and other financial accounts and investigate and resolve any discrepancies.
• Maintain confidential, physical and digital financial records in accordance with school policy.
• Assist in Budgeting and expense tracking to ensure the academy's resources are utilized effectively.
• Maintain a professional, cooperative, and respectful relationship with all members of the Saint Joseph Academy community
• Support school liturgical and community life as applicable
Qualifications:
• High school diploma required; Bachelor's degree in Accounting or Finance, or 3-5 years of equivalent bookkeeping experience preferred. Candidates currently working toward a relevant degree are also encouraged to apply.
• Prior experience in a school, non-profit, or clerical setting is desirable but not required for the right candidate.
• Proficiency in QuickBooks and Microsoft Excel and experience related financial tools is required.
• Strong organizational skills, extreme attention to detail, and the ability to work collaboratively under the direction of the Business Manager.
• Excellent communication and interpersonal skills and the ability to maintain high levels of confidentiality.
• Clear background check and fingerprinting required (per California law and school policy).
This position is part-time (typically 16-20 hours per week) with a schedule to be determined in collaboration with school leadership. Compensation ranges from $22 to $35 per hour based on experience.
