Job Description

Position Overview

Everest Collegiate High School is seeking a full-time year-round Administrative Assistant. The person who fills this is the face of the school, the first impression that students, parents, and visitors have. It is crucial that the Administrative Assistant maintains a welcoming atmosphere through courteous, respectful, and professional interactions with all members of the school and wider community.

The ideal candidate demonstrates strong judgement and discernment. This role requires a high degree of reliability and follow-through; the Administrative Assistant must be comfortable managing tasks from start to finish, maintaining accurate records, organizing files, coordinating logistics, and supporting multiple projects simultaneously.

Qualifications

The high school Administrative Assistant should meet the following qualifications:
• Bachelor's degree preferred
• Experience in office administration, preferably in an educational institution
• Good working knowledge of Excel, Word, Outlook
• Comfortable with technology and able to learn to use multiple online systems including the Student Information System (SIS)
• Excellent communication skills including email, telephone, writing, listening, and speaking
• Ability to maintain a positive, welcoming demeanor while effectively managing multiple distractions
• Excellent organizational skills and attention to detail
• Ability to multi-task effectively with many distractions
• Maintain confidentiality of student, family, and personnel information

Reporting Structure

The high school Administrative Assistant will report to the Business Manager

Specific Responsibilities

The specific responsibilities of the high school Administrative Assistant include but are not limited to the following:
• Maintain a consistent presence at the front desk throughout the school day
• Greet guests and answer the phone in a warm and welcoming manner
• Ensure all visitors sign in and get a name tag
• Maintain a clean, organized, and welcoming lobby environment
• Manage daily student attendance and update student records in the SIS
• Demonstrates the ability to enforce rules and expectations with students in a calm and authoritative manner
• Administer student medications in accordance with school policy and parental permissions
• Support administrative needs of the high school director and leadership team
• Maintain high school director's calendar
• Coordinate with various administrators to prepare weekly email communication for faculty and staff
• Miscellaneous office duties such as sorting mail, ordering office supplies and maintaining office supply inventory, and managing package deliveries and pick-ups
• Maintain a working knowledge of the activities going on at the school by becoming familiar with the school website and weekly newsletter
• Set up and coordinate meetings and conferences, including all logistical planning and execution
• Plans, organizes, and coordinates end-of-year, summer, and August mailings to families, ensuring accuracy and timely distribution
