FLSA Status: Non-Exempt
Schedule: Full-Time - M-F 8:30 a.m. - 4:30 p.m. Occasional nights and weekends may be required.

POSITION SUMMARY
The Office Coordinator manages appointment scheduling for counselors; serves as the first point of contact for walk-in clients and visitors; manages and routes incoming phone calls; and provides information and assistance as needed. The Office Coordinator provides administrative and operational support to the Associate Director, ensuring tasks are completed accurately, timely, and in accordance with established procedures. This position is responsible for safeguarding confidential records and must maintain client confidentiality and privacy at all times.

PRIMARY RESPONSIBILITIES
• Works within established office procedures and guidelines to support departmental operations and leadership. Receives, screens, and directs all incoming phone calls to the department, including taking and relaying messages for staff who are not immediately available. Maintains confidential records and the online scheduling system, with strict adherence to client confidentiality and privacy requirements at all times.
• Ensures documentation is maintained accurately and confidentially, collaborating with department leadership to uphold HIPAA standards and University policies.
• Coordinates departmental supply purchasing and completes monthly reconciliation of purchase and transactions for the Counseling Center and Student Life.
• Provides support for Student Life projects and assists with overflow needs as assigned.
• Supports social media outreach efforts for the Counseling Center and assigned Student Life departments.

REQUIREMENTS
Must understand, support, and embrace the mission of Franciscan University of Steubenville and possess the following:

Work Experience
• 1-3 years administrative experience
• Experience working in an office preferred

Technical Skills
• Proficient in Microsoft Office Suite (Word, Excel, Outlook, etc.)
• Ability to respect patient confidentiality and privacy in all interactions
• Ability to work in a multifaceted fast-paced environment

Education / Credentials
• High school or G.E.D. required
• Undergraduate degree, Trade, or Technical school desired

Workplace Factors
• Sitting or standing at workstation for hours at a time
